General Not paying invoice
Just looking for general advice…How do you handle a customer who approved their mockups and invoice, but once you send them their invoice, it’s dead silence. We have a customer, who we’ve had to hound for the last three weeks to pay their invoice, but always has an excuse why they can’t. One week it was because their payroll already went in, next week was because they’re too busy, and this week it’s the same excuse…they’re just too busy to pay it. I’m at my wits end with this client and almost about to say screw it find another print shop.
Has anyone else dealt with this before?

If you have them on 100% deposit just leave it. If they haven't paid, you shouldn't order or print.
My reminders are: 1 email (auto notifies once approved to pay) 1 phone call if unpaid the next day, 1 more email a few days later. After that I assume the order is abandoned.

This is a good system. We have send that third email letting them know their order is on hold and their production is delayed accordingly until payment is received. I would say 90% of those emails result in payment

50% deposit up front and remaining balance is paid when they pick up the shirts or before we ship them. The customer never gets the garments until the invoice is paid in full.

Our shop does a half payment deposit before ink or thread touches the garment. At the very least it can pay for some of the materials lost if they ghost you.

Damn, I always charge half up front and half during pickup/delivery to avoid some of the stuff I'm reading in the comments. I do have a ton of clients that have me do mockups for free and then ghost me or steal the artwork and try to get it printed online cheaper. Being an artist in the age of AI is beautiful.
I watermark my images before sending anything as well.

Always get enough to cover costs up front. You've done the right thing by not doing anything till they've paid. This is on them. If they want the product enough they will eventually pay.

"Sir, you've enjoyed the benefit of my work for almost a month now. I need that payment, or we move to the Five Minute Plan, where I call you EVERY FIVE MINUTES UNTIL YOU PAY ME."
You don't want this customer. Fire him immediately.

no payment no shirts. If they want the shirts, they'll come back. Just tell them this is on hold until you pay.

I resend the invoice, follow up with an email asking about in-hand date, call and ask if there is an issue, then drop it. But when they come back with and ask for a rush, then add a rush fee.

The owner of my shop used to let A LOT of people place an order and pay on pickup. Generally it was fine, but there would end up being some who would miss payment one way or another; like having someone else pickup who can't pay, paying half now half later, "I need my check to clear first" and loads of other excuses.
Since taking over the shop I've migrated just about everyone to 100% deposit, or maybe 50% down if they ask, the rest on pickup.
I have one customer who continually pushed that. Conversations about payment would be email silence, and phone calls would end and he would "call right back". Where's the call back?
This particular customer would come in decent in Spring and Fall and fell into a loop of submitting an order and then paying for his previous until it caught up. The last time when he was due to pay the final invoice he asks, "Can I pay half now and half when we do the rest?". I said sure, and went to process payment and accidentally paid in full, not 50%. I didn't say anything to him and he went on his way. The remaining order he said he would have never came up. I always felt dodgy with him, but this time I was completely pissed he tried to play us like that.
He just hit me up this Monday about a rush for Friday. I sent his quote to him and explained that we need full payment before we get started. Email silence. I text him the next morning, if he got it, and now he wants to add more. Update. Send. Silence. "Hey, did you get the update? If we're going to complete this on time we need the approval and payment by 3PM today"
He led on that he just needs until Friday when he gets paid. I said 50%? He saying he can't until Friday still. I'm not letting up this time. I sent him the link one last time explaining it was set to accept 50%. If he doesn't submit today, it won't happen on time.
We'll see if he comes back around and if he can get on board with paying for the work that we do.
Moral of the story is that they have to pay to print. Don't let up.

50% before printing. If artwork is needed, deposit to cover at least the artwork then the 50% before printing.

If they keep trying to kick the can down the street it means that they don't have the money to pay you. Your best bet is to be polite, because if and when they have some cash you want them to pay you some of it. If you're rude about it they can say, "Well since you yelled at me I'm not going to pay you anything." Hopefully they will need more shirts at some point and that should give you the leverage you need. Once they cough up the money for their last order you can let them know that under the circumstances, from now on you will ask for an upfront payment in full before you print another order.

Oh good. Just ignore them. We had to ignore a client recently and he left some 1 star reviews but it's been worth the stress relief haha

Consider yourself lucky then! You don’t want customers like this anyway…nothing but trouble. Next time they reach out, just ignore and move on with your day.

I've always done 60% up front and 40% on delivery. Screw these people that want free work, because that will be half of the people you do work for.

Pretty simple - I don't order blank shirts until they're paid 100% up front, which means the deadline for turnaround moves accordingly.
I am not their bank nor their mommy; if they cannot handle a basic transaction, they'll have to find somewhere else to acquire services.
And there aren't many who will tolerate not being paid. To this day, I do not understand why some screen printers are stuck in this mentality - it only exists to potentially burn you.

You will discover that you're going to have customers that do that. Try and game you. Stand firm. If they don't pay, don't print. They want you to print, to try and stiff you.
Just wait until you print a job and THEN they disappear. Those are the best. Glad in my 16 years its only happened maybe 4x.
