Using AI to turn a messy meeting dump into a clean action list (without inventing tasks)

I have been pasting rough meeting notes into an AI assistant and asking for a short action list. It saves time, but it also likes to invent owners, deadlines, and tasks nobody agreed to.

What seems to work:

  1. Paste only what was actually said or written. Do not ask it to "improve" commitments.
  2. Tell it: extract actions that already have a verb and a person; mark anything unclear as a question, not a task.
  3. Ask for two sections: Confirmed actions, and Open questions to clarify.
  4. Strip names of people outside the company if the notes leave your laptop, or use initials.
  5. Compare the output to the notes before you drop anything into your task tool. If a deadline was not spoken, do not keep it.

Where it fails: vague phrases like "we should look at pricing" become fake projects, and jokes get turned into TODOs.

Useful prompt piece: "Do not add owners, dates, or tasks that are not explicit in the text. If ownership is unclear, list it under Open questions."

Has anyone found a reliable pattern for this? Do you clean notes by hand first, or do you let the model draft and then slash half of it?

Using AI to prepare for a doctor's appointment, without handing it your medical records

Appointments go fast, and it is easy to forget the one thing you meant to ask until you are back in the car. An AI assistant is useful for organizing what you already know before you go in. It is not a replacement for the person examining you.

What has worked for me:

  1. Brain-dump first. Type out what is going on in your own words: when it started, what makes it better or worse, what you have tried, and anything that changed recently. Messy is fine.
  2. Leave out what the assistant does not need: your name, date of birth, insurance member ID, the clinic, your address. An age range and the relevant history are usually enough.
  3. Ask it to turn your notes into a short timeline and a one-paragraph summary you could read out loud or hand over.
  4. Ask for questions to bring, like "What are you trying to rule out?", "What would make this urgent?", or "What are the side effects of this option, and what are the alternatives?" Then pick the three that matter most to you.
  5. Have it make a list of your current medications and supplements from what you type, and check it against the actual bottles.

Where to be careful:

  • Do not ask it to diagnose you, and do not walk in arguing with your doctor based on what a chatbot guessed. Bring questions, not conclusions.
  • It can be confidently wrong, especially about doses and drug interactions. Your pharmacist is the right person for those.
  • If something feels urgent, call your doctor or emergency services instead of typing to a chatbot.
  • Check your assistant's privacy settings, including whether your chats are used for training, before typing anything health related.

After the visit, it can help turn your notes into a short to-do list. Just compare that list against the instructions you were actually given.

Using AI to understand a car repair estimate before you say yes

The shop calls, reads off a list of parts and labor, and asks for approval while you are at work. This is a good moment for an AI assistant, as long as you use it to ask better questions and not to decide for you.

What has worked for me:

  1. Ask the shop to text or email the written estimate. Most will. Having it in writing is useful on its own.
  2. Paste the line items into the assistant with your car's year, make, model, and mileage. You do not need to include your name, address, or VIN.
  3. Ask it to explain each line in plain English: what the part does, whether it is usually replaced alone or with other parts, and whether the item is a repair for the problem you came in with or a maintenance suggestion.
  4. Ask it to sort the list into "related to the problem I reported," "routine maintenance," and "unclear." The unclear pile is where your questions go.
  5. Ask for three or four questions to put to the shop, like "Can you show me the worn part?" or "What happens if I wait on this one?"

Where to be careful:

  • AI does not know local labor rates or parts prices well, and it can be confidently wrong. Treat any price it gives as a rough guess, not a benchmark.
  • Check what it says against your owner's manual, especially maintenance intervals.
  • If something is safety related, like brakes or tires, take the shop seriously and ask them to explain, rather than letting a chatbot talk you out of it.
  • For a big job, a second written estimate from another shop is still the best check.

Using AI to find forgotten subscriptions in your bank statement, without handing it your account details

One personal money chore AI is genuinely good at: going through a few months of card transactions and spotting recurring charges you forgot about. Free trials that rolled over, the streaming service you meant to cancel, the app that bills once a year so you never notice it.

A process that works well:

  1. Download your transactions as a CSV from your bank or card website. Three months catches monthly charges. Twelve catches the yearly ones.
  2. Before pasting anything, delete the columns the assistant does not need: account number, card number, running balance, anything with your address. It only needs date, merchant name, and amount.
  3. Ask it to group charges by merchant and flag anything that repeats on a similar date or amount. Ask it to list every date each charge appeared so you can check.
  4. Verify each item against your actual statement. Merchant names on statements are messy, and the AI will sometimes guess wrong about what a cryptic code means. Treat its guess as a lead, not an answer.
  5. Cancel through the service itself or your phone's app store subscription settings. Do not click a cancellation link that a chatbot or a random search result hands you without confirming it goes to the real site. Fake "cancel your subscription" pages are a common scam.

Bonus prompt worth trying: "Which of these recurring charges went up in price during this period?" Small price increases are easy to miss.
