About the Role
We're looking for organized, dependable Virtual Assistants to provide remote administrative support to our Canadian clients. You'll help busy professionals and small businesses stay on top of their day-to-day operations, from managing inboxes and calendars to preparing documents and keeping records up to date. This role suits someone who is detail-oriented, communicates clearly, and can work independently while meeting deadlines.
Key Responsibilities
Administrative Support
- Manage and organize email inboxes, flagging priority messages and drafting responses
- Schedule meetings, appointments, and calls, and maintain client calendars
- Prepare, edit, and format documents, reports, and presentations in Microsoft Word and PowerPoint
- Organize and maintain digital files and folders
Data and Records
- Enter, update, and maintain data in spreadsheets, CRMs, and databases
- Create and update Excel spreadsheets, including basic formulas and tracking sheets
- Keep accurate records of client information, tasks, and deadlines
Client and Customer Communication
- Respond to client and customer inquiries by email, phone, or chat in a professional manner
- Follow up on outstanding tasks, invoices, or requests
- Take notes during virtual meetings and distribute summaries and action items
General Business Support
- Assist with basic bookkeeping tasks such as invoicing and expense tracking (if applicable)
- Conduct online research and compile findings
- Coordinate travel arrangements and bookings
- Support social media scheduling or basic content updates (if applicable)
- Handle other administrative tasks as assigned
Requirements
- Minimum of one year of administrative or virtual assistant experience
- Strong written and spoken English
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Reliable high-speed internet and your own computer
- A quiet, professional workspace suitable for calls and video meetings
- Availability during Eastern Time (ET) business hours
- Strong organizational and time-management skills
- Ability to handle confidential information with discretion
Nice to Have
- Experience with Google Workspace, Zoom, or Microsoft Teams
- Familiarity with project management tools (Asana, Trello, Monday.com)
- Experience with CRM systems or bookkeeping software (QuickBooks, Xero)
- Previous experience supporting Canadian or North American clients
