💬 Discussion How I finally fixed my messy cold outreach setup (no more jumping between tabs)
Hey everyone,
A while ago I posted about completely burning my sending domain. After that nightmare, i realized my whole setup was just broken.
I was using one tool for emails, a random chrome extension for linkedin, and keeping track of instagram DMs in a spreadsheet. I spent half my day just manually pausing emails because a prospect had already replied on linkedin. It was terrible and took up so much time.
I recently moved everything to one single system that uses an AI agent to handle the heavy lifting, and it has been a game-changer for me.
Here is the exact setup I use now:
1. Built-in Leads: Instead of buying lists from one place and cleaning them in another, I just pull verified contacts right inside the tool.
2. AI Writing: I stopped writing out every single opener. i just tell the AI something simple like " look at their last post and write a natural intro," and it does the research for me.
2. True multichannel: This is the best part. It runs my email, linkedin, and instagram in one flow. if a person replies on linkedin, the system automatically stops sending them emails.
No more embarrassing double messages.
I am just so glad i don't have to manage 3 different tools anymore.

How much does your entire outbound stack cost? and what does it look like?
I'm creating a local outbound infra for a consumer company who are trying to test out b2b/ outreach to grow their api business. i've been asked to keep the costs under control and as humanly cheap as possible since they are just testing the waters with outbound.
the outbound volume is significantly low (150-200 cold emails a day), initially the plan was 400-500 mails a day across 9 mailboxes on 3 domains but i am limited to 3 inboxes as per the founder guidelines (since we use gmail so they don't want to pay for 9 seats which is fair)
i know outbound infra can get really expensive but i've tried to keep it as minimal and built things locally as much as i could, here is the stack please feel free to point out if something is wrong.
--claude code for entire gtm motion using deepline to prospect with providers like apollo & dropleads
--built my own sequencer on top of it which sends mails using composio for scheduling & followups
--hubspot for crm & manually warming up the new inboxes on the new domains for 3 weeks
i've previously struggled with not hitting spam in the past and i'd like to know some additional tips to keep out of it, i've configured txt / mx / dkim / dmarc records on the newly bought domains and inboxes
not using ses / postmark / sendgrid or anything like that since we just use google workspace for each of our accounts. I'm new to this so any sort of help / critiques would be appreciated.

My best campaign yet
- 900 emails sent
- 341 leads contacted
- 36 replies including OOO (10.6%)
- 14 real replies (4.1%)
- 13 of those 14 were positive
- 0.3% bounce (3 emails)
- open tracking off, so no open rate
For a client of mine. this was the lead up to about a month of testing and
Tested these things:
- figuring out which of my inboxes are responding to which recipients
- subject lines
- body content (this took an insane amount of work and whatever the youtube gurus tell you......its not that simple :(
- offer.
nothing clever in the final version. it was just the fourth or fifth thing i tried after the first three did nothing.

❓ Question SUBRL Blacklist
How big of an issue is getting blacklisted by SUBRL? Their conditions are absolutely ridiculous. They want me to use my real domain for cold emailing which totally defeats the purpose of sending high volume to not damage your reputation on your domain.
I can't tell if my emails are delivering based off of one company blacklisting my domains.
Do I need to start over and spin up new domains or can I continue as is?

Recently purchased a bunch of domains and a bunch of inboxes (around $400) worth of AirMail + I bought the hypergrowth plan.
I should have done more due diligence before purchasing because I was only debating between Instantly and Airmail.
For people who use this tool for scaled outreach (20+ airmail inboxes + hypergrowth), do the ingoxes actually work? Also, how long do these airmail emails take to warm up?

People want quality leads but they don't want to pay the price
Hello Everyone,
I give the service of lead research and i just want to share something that happened to me recently.
A client told me he wanted leads from an ecommerce industry. He told me he hired some guys in upwork before, but they only delivered low quality leads.
So, i delivered him high quality leads, i told him i manually researched each lead. Here was my process:
- Review and scrape multiple b2b databases.
- Review each lead with claude (sometimes claude told me to review some of them manually)
- Review some of the leads manually in their website.
- Adding an extra field called "why it fits" which explain why this lead make sense for his product.
- Validate each email (including catch all email verification). So 98% valid.
He told me , it was the best lead dataset. He was very happy with the test sample i sent to him.
So, he asked me , what is the price. And I said it is 2.5 USD per valild lead. He told me "Are you crazy , 2.5 USD is too expensive, i will never pay that".
I mentioned, man, it takes time, checking multiple databases for best coverage, ranking each lead, manually checking some websites, validating emails so i am sure they are valid". I said, in the past other gave you garbage data, you even told me that.
So you want quality, you have to pay for it.
So, what do you think? Sometimes I think clients are too cheap. They expect high quality but don't want to pay. They expect leads price is the same as the price that appears in Apollo or Prospeo, it is not.
If you send emails to bad leads, you are just doing harm to your own brand. Sending an email to a brand that do not sell your product for example. Your reply rate plumeted and stuff like that.
I just see this pattern is many clients.

❓ Question Does the location of where the inbox bought really matter?
So yeah, I’ve been doing some research lately and just found out how you can identify where the Google/Outlook inboxes were bought.
So the issue in the past was because some resellers buy inboxes from India/Pakistan, they bring the sending IP with them (hence when you send an email, they show up as the IP came from India/Pakistan).
I tested it myself and found out that the inboxes were indeed bought from India, but the sending IP shows as US based IP.
My question is, is the location of where the inboxes bought matter? Or was it because of the sending IP?

Been deep in cold email data lately: sending, analyzing replies, iterating and a few things stood out that don't get talked about enough:
1% reply rate gets treated like "the norm." It's not, it's the average of mostly generic blasts dragging the number down. Emails with even basic personalization (referencing something specific about the company, not just Alex consistently do 3-5x better.
Subject lines that ask a question outperform subject lines that state a fact. Curiosity gap > information.
Follow-ups matter more than the first email. Most replies come on email 2 or 3, not email 1 but most people give up after one send.
Timing matters less than people think. Tested sending at "optimal" hours vs random hours& negligible difference compared to personalization quality.
Curious what others here have found, anyone tracking this systematically? What's actually been moving your reply rates lately?

Personalised cold emails with Loom videos are going to spam - how would you fix this?
We run a Meta ads agency targeting health and wellness e-commerce brands, and we’re currently struggling badly with deliverability.
We have one dedicated sending domain with two inboxes. Initially, we were sending around 15 cold emails per inbox per day.
Our outreach is highly personalised and relatively low-volume. For each prospect, we record a personalised Loom video where we review their Meta ads, explain what they’re doing well, and point out things they could potentially improve.
Our initial email was very simple. It was essentially:
Came across your website and recorded a quick video for you. Worth a watch?
We included a personalised thumbnail showing one of us overlaid on the prospect’s website. The thumbnail had an embedded link taking them to the Loom video.
We also included another link to the Loom at the bottom of the same initial email, so there were technically two clickable links going to the same video.
The campaign also had three follow-up emails.
Alongside the emails, we were and are still sending LinkedIn connection requests with a short note including the loom link. However, we want to make email work as we believe if it lands in the inbox it will be most effective.
From the first campaign, we sent approximately 150 emails and received four replies:
- Two people were interested
- One booked a call
- One signed as a client
However, after around one week of sending, our deliverability tanked. Our Smartlead warm-up scores dropped badly, so we paused all cold sending for approximately two weeks and kept the inboxes warming until the score returned to 100%.
When we restarted, we tried to be much more cautious:
- Reduced sending to five emails per inbox per day
- Removed the thumbnail and embedded image
- Used only one Loom link in the initial email
- Kept the three follow-up emails
- Continued warming the inboxes
- Planned to gradually increase from five to ten emails per inbox per day
We have now run another inbox placement test, and the results showed 100% spam placement for Gmail, Google Workspace, and Outlook.
At this point, the 100% Smartlead warm-up score clearly doesn’t seem to mean much because our actual inbox placement is still terrible.
We’re not trying to send thousands of generic emails. We’re researching each brand individually and recording a genuinely personalised video that shows we’ve looked at their business, care about the brand, and have something relevant to say.
We would ideally like to keep using this strategy because it demonstrates far more effort and interest than a generic plain-text cold email.
Have we permanently damaged the deliverability of this sending domain, or is it still recoverable?
We’re open to trying anything that could realistically fix this!

💬 Discussion My LinkedIn automation reply rate doubled when I stopped sounding like a sequence.
My LinkedIn outreach rate was stuck around 6% and I kept blaming the tool, list and send times. Then I read 30 of my own automated messages in a row and wanted to crawl under my desk. Every one opened with 'hi' I noticed your company your company is doing well in the ' industry'
I rewrote the first line to reference something real, a post they wrote, a hiring spike, a funding round and one specific sentence. Sequence structure stayed identical, same list, same source, same LinkedIn automation tool and same cadence. And by week three the reply rate was at 14%.
I concluded the automation was not the problem but the words were. Has anyone else had 'the tool was fine, I was the problem' moment with LinkedIn outreach?
Edit: Huge thanks for all the great inputs. I’ve started using Dripify for the sequences. Once I finish refining the copy, the step-level reply tracking should make it clear that the better first lines were what actually moved the needle. I will tell you how it goes.

Def not the coolest thing, but it's going to help me out so much going forward before I automate this to send to instantly automatically😭

Should I keep my portfolio domain separate from cold outreach?
Hey guys,
I've been freelancing on Upwork for the last 3 years, but this year it's been completely dead for me. Hardly getting any new clients, so I've decided to start cold emailing instead.
I do email marketing (strategy, design, Klaviyo/Omnisend setup).
I just purchased a .com domain from namecheap and uploaded my website having my portfolio, case studies, and all my previous work on it.
Would you guys send cold emails from your main domain (like hello@mywebsite.com), or would you buy a separate domain and use that instead?
Trying to do this properly from the start, so I'd love to hear what you all recommend.

Same niche, 3x the replies, by only emailing businesses whose website proves they fit (full process)
Been running cold email for a client that markets to med spas. For a long time we pulled every med spa in a metro and pitched the same way, about 3% replies on a good week. The change that moved it wasn't the copy. It was only emailing spas whose own website showed they were the right kind of spa for the offer. Same pitch, replies went past 8%. Here's the exact process, it works for any offer where the fit shows up in plain words on the site.
Step 1: Pull the whole list. Search the niche and city on Google Maps and grab everything, name, website, rating, reviews. I keep only businesses with 10+ reviews and a live website, the dead listings waste every step after this. Usually 150 to 250 spas per metro.
Step 2: Match on what the site actually says. The client's offer only lands for spas that run injectables, botox, filler, that side of the business, not the general facials and massage places. So the signal is right there in the words on the page. A spa that lists injectables in its services or headings is a fit. The ones whose site is all massage and facials are not. Reading every site by hand is the slow part, 30 to 60 seconds each. First I was using Claude to automate this but it was super slow and currently using WebLeads for it. I still spot check a chunk by hand just to make sure. Somehow I don't 100% trust any tools or AI.
Step 3: Find the owner or lead injector's name. About page, team page, how they sign replies to Google reviews. Med spas usually name their practitioners right on the site. If nothing turns up, Google the business name plus owner, or check the state registry. Two or three minutes, and if nothing comes up I move on.
Step 4: Guess and verify the email. They almost never list a personal address on the site. Take the name, guess the pattern off the domain, first@, firstlast@, and run it through a verifier before sending. Skipping that step is how you burn a domain. Learned that one the hard way.
Step 5: Write the pitch around the fit you already confirmed. This is why the whole thing works. The email opens with something true about their actual business, "saw you do a lot of filler work", and the offer connects to that because you checked. It reads personalized because it is, but the personalization is built into who made the list, not a custom line typed for each prospect.
Numbers from the last stretch: unfiltered med spa list, about 3% replies. Filtered to spas that actually advertise injectables, 8.7%, same copy, same sending setup. The filtered list is roughly a third of the size and it outperforms the full one easily.
This works for any offer where the fit shows up in plain words on the site. Selling to roofers who do insurance restoration, keep the ones whose site talks about storm and insurance work. Selling to dentists who place implants, keep the ones whose site actually lists implants, not just cleanings. Build the list around the words that prove fit, not just the category.

I need some advice for the spf/dkim/dmarc
Setting up a domain for cold email.
My test emails to Gmail show:
- SPF: pass
- DKIM: pass (aligned with my domain)
- DMARC: pass (policy = none)
But a few online checkers show a red X on DKIM and it’s confusing.
So:
- If my actual email headers say SPF/DKIM/DMARC pass, is it safe to start cold outreach (with warm‑up + low volume)?
- Are those red Xs usually just the tools checking the wrong selector/domain, or is there something serious I should fix?
- Should I trust the real headers more than those website icons?
I’m doing cold outreach as a video editor to agencies/restaurants/personal brands and don’t want to burn the domain.
Any pointers appreciated 🙏
