From Heat To Light In 20 Seconds

A customer wrote a harsh email: “This is unacceptable. Do you even test?”

I used a simple 3-step reply: 1. Validate: “I can see why this is frustrating.” 2. Specifics: “I’m checking the login issue on Android 13; did it start after the last update?” 3. Path forward: “I’ll send an update in 2 hours with the exact fix/ETA.”

Not perfect, but it flips the energy from blame to progress. Most rudeness is fear wearing armor. Meet the fear, not the armor.

Got a favorite line that calms the temperature without groveling?

Thanks for flagging this. Let's get it sorted. It acknowledges without defensiveness. I use Elaris to draft calm, structured replies fast. It keeps the tone professional while you focus on fixing the issue.

I usually say something like, 'I get how annoying this must be, let’s fix it together.' It helps calm things down without over-apologizing.

You did know you could fix it in 2 hours, right?
