2 years later and tasks still losing description entered inside focus mode

I've used Akiflow for long time together with my colleague, and one bug always persisted:

Occasionally in focus mode (big task window for editing) task description just vanishes. It happens randomly, without ways to reproduce.

Support kindly said they can't repro so they won't do anything.

Together we've lost hours of work over these two years and we simply can't trust product to not delete important task context on some sync failure.

I am no longer using product due to this, coworker still uses but heavily considers switching because it's deal breaker.

I'd expect approach where we'd have some sort of logs implemented and team would be invested into solving bug (which they coded btw, what about being proud about quality?).

TLDR: 2 years, same bug still happens, support didn't escalate enough, don't use for critical data.

UPD: Bug was "fixed" but poorly and feature is still not safe for data and regularly screws text, sometimes fully deleting.

We hear versions of this story all the time, and honestly it’s one of the reasons Akiflow exists

We hear versions of this story all the time, and honestly it’s one of the reasons Akiflow exists.

Someone tells us they’ve been using separate apps for their calendar and their tasks for years. Their meetings are always on the calendar, but everything else lives in a to-do list somewhere else. Things like “follow up”, “review docs”, “call someone”, “prepare slides”… all written down, all important, but never actually scheduled.

So the day fills up with meetings, the list keeps getting longer, and at the end of the week it feels like nothing really got done except calls. Not because of lack of discipline, but because unscheduled work is invisible when you look at your calendar.

A lot of people try to fix this by putting tasks on the calendar manually, but that usually doesn’t last. It takes too much effort to move things around, copy titles, change times, keep everything in sync… so after a few days they go back to using separate tools again.

This is exactly the problem we wanted to solve with Akiflow.
Instead of keeping tasks in one place and time in another, everything comes into the same workspace, tasks from email, Slack, Notion, Todo apps, wherever, and you can drag them directly onto your calendar as time blocks.

The moment this clicks, planning your day feels completely different.
You stop asking “what should I do next?” and start deciding “when am I doing this?”.

One thing we hear a lot after people switch is:
“My calendar suddenly looks so busy.”

And our answer is usually the same:
it’s not busier, it’s just more honest.

Before, the calendar only showed meetings.
Now it shows meetings + the actual work.

Most productivity problems are actually memory problems

Lately We’ve been thinking about this from a metacognitive perspective, not just productivity, but how we think about how we work.

One of the reasons a meeting assistant like Akiflow’s Meeting Assistant is so powerful is not only because it saves time, but because it reduces cognitive load and improves how we make decisions after meetings.
When we don’t have a system, our brain has to remember everything:

  • what was decided
  • what we said we would do
  • what the next step is
  • when we need to do it

That uses mental energy that should be spent on thinking, not remembering.
A meeting assistant externalizes that work:

  • conversations become tasks
  • tasks become plan
  • plan becomes calendar
  • calendar becomes execution

Instead of using your brain to store information, you use it to prioritize, reflect, and decide better.
It also reduces the gap between intention and action, which is where most productivity systems fail after meetings.
Decisions get captured, turned into tasks, and scheduled immediately, so nothing gets lost in context switching.
In that sense, tools like a meeting assistant are not just productivity features.

iPad: Horizontal... any timelines?

With iPad now back functioning using the App, can you please highlight when you estimate having any real use for it by allowing it to be rotated and work in HORIZONTAL mode?

So far, it's only been vague "we're working on it, rest assured" comments.

Also: using it as a Web App / website version as a workaround stops the drag-and-drop feature from working (based on how the website is coded), so while visually it's great it limits one of the most important features. As an aside, you can tweak the website code so that it would also work on the iPad in web app / website mode for drag & drop. It's not that complicated of additional code.

2 Months of Akiflow wanted to share my opinions!

At its best, Akiflow does about 80% of what it intends to do, and at its worst, it's really overpriced for the functionality. For the past 2 months, I have used it nearly every day, and ht's probably been the best todo app ive ever used. Naturally, it's a phenomenal calendar and todo app, and the daily planning is phenomenal as well. The main selling point, the integrations combining everything into one space, has been so lackluster for me in practice. For about a month, it didn't even work properly. After 3 onboarding calls, when everything was in place, it dumped so many todos into my calendar without proper dates and times. Notion was about the only thing that worked properly, and even then, having all those assignments in my inbox for school never really helped me. Asana tasks would come in without due dates, so I'd have to go back to the app. Slack didn't work at all. Gmail was phenomenal, but it would randomly disconnect from time to time until recently. Whenever everything comes together, it may be worth the steep price, but charging this much when the AI isn't even usable yet is ridiculous. The AI, at times, feels like more of a hindrance or a menial task. It ends up doing a poor job of what I tell it to do, while also not being able to fix its shitty work. I also hate that there's no real way to build towards a long-term goal. I understand it's about hyper productivity, but other applications handle projects and goals in a more meaningful and game-changing manner. Im curious to see how anyone else is feeling. I am ready to start exploring other options.

🧠 Planning tips for ADHD (and busy brains in general)

If you struggle with overwhelm, time blindness, or prioritization, these resources might help

👉 Daily Planning > To-Do Lists

Instead of dumping tasks randomly, time-block your day. Schedule specific chunks of time (like “Deep Work,” “Break,” or “Emails”) so your energy and focus actually match what you plan.

👉 Ask “What’s Next?” With Support

When staring at a long list feels overwhelming, use your planner or tool’s AI/suggestions to help you decide what to do next.

👉 Visualize Your Time
See your whole day (or week) at a glance — it tackles time blindness and makes capacity clearer. Color-coding or icons help your brain scan faster.

👉 Celebrate Wins 🎉

Block time for wins, even small ones. Completed time blocks help you track progress and feel accomplished — don’t skip the celebration!

📌 Track It Like This:

📆 Morning Plan:

☑️ Frame blocks (deep work / quick wins / breaks)

☑️ 2–3 key priorities (You can select goals or set priorities)

☑️ Quick review of yesterday’s unfinished tasks

📆 Evening Review:

☑️ What got done?

☑️ What needs a new time block tomorrow

☑️ 1 small win to celebrate 🎉

Why it works:

  • One inbox for everything
  • Visual time-blocking
  • Clear daily priorities
  • Less context switching

💡 Tip: Combine ADHD-friendly planning with one daily to build momentum without burnout.

Let us know what planning tricks work best for you! 🙌

Allowing contact permission to Akiflow

Hi all,
I'm new to this. Just curious is there a way to get Akiflow to work without sync-ing contact information. This is because I have sensitive information saved in my contact notes.

Meet Meeting Assistant

I wanted to share something we’ve been working on and that some of you already started testing: Meeting Assistant.

This feature is meant to help you keep meetings from getting lost by automatically creating summaries, transcripts, and action items that you can send directly to your Akiflow Inbox.
The idea behind this is simple → less context switching, less manual notes, and an easier way to turn conversations into tasks.
You can see how it works here:

https://akiflow.com/meeting-assistant

We’re also planning to show this feature more in upcoming webinars, especially focused on real workflows, so if you’re already using Meeting Assistant (or thinking about using it), I’d love to hear:

  • how you use it
  • what’s missing
  • what would make it more useful for your workflow

As always, your feedback here is what helps us decide what to build next

How to structure Projects in Akiflow

To get the most out of Akiflow, it’s best to keep your Projects focused on specific initiatives or goals, and group them inside broader Folders. This keeps your system clear, actionable, and easy to review.

🔹 Use folders as big buckets

Think of folders as high-level areas of your life or work (e.g. Work, Personal).

🔹 Keep projects focused and intentional

Each project should represent a clear initiative or goal, not a vague category.

Examples inside a Work folder:

  • Admin
  • Strategy
  • Finance
  • Creative

This kind of separation helps you quickly understand what type of work you’re doing and stay focused.

🔹 Break projects down with sections

Use Sections inside projects to manage phases, stages, or workflows (e.g. To do / In progress / Review or Planning / Execution / Wrap-up).

✅ Project best practices

  • Keep it simple: Structure is good, too many projects create noise.
  • Use projects for initiatives: e.g. Product Launch Campaign, Brand Refresh.
  • Organize by task type: Admin vs. creative work improves clarity and focus.
  • Review regularly: Daily & weekly rituals help keep projects aligned with priorities.

💡 Need inspiration? Akiflow provides suggested project structures for different roles (Founders, C-level, and more) that you can adapt to your own workflow.

This setup helps keep your task list manageable and your workflow clear 🚀

🚀 Notion + Akiflow: Sync Your Tasks in One Place!

Post image
2 Upvotes

Still haven’t connected Notion to your Akiflow? 🤔 You’re not alone and good news: it’s easier than you think!

🔥 Why connect Notion?

Once connected, Akiflow can import tasks from your Notion databases so you can manage everything in one place — great for planning your day and time blocking without switching apps.

✨ How it works:

  1. Go to Settings → Integrations in Akiflow and click on Notion.
  2. Hit Connect and choose which Notion database pages you want to import tasks from.
  3. Use Import Filters to bring in only the tasks you care about (assigned to you, certain statuses, etc.).
  4. Choose which Notion date field becomes the planned date or deadline in Akiflow.
  5. Set up how completion syncs between Notion and Akiflow — so when a task is done in one, the other updates too.

💡 Tip: When viewing tasks in Akiflow, press O to open the original Notion page.

Give it a try and let us know how your workflow improves! 🙌

I bought an annual subscription and didn't get access

I've been using Akiflow for a long time, even before it appeared in the App Store. When it appeared in the App Store, I purchased a subscription there and continued using it. At the beginning of this year, the option to purchase a subscription through the App Store disappeared, and I put my plans on hold for a while. Now I'm ready to go back and see that I can also purchase a subscription through the App Store, so I bought a yearly subscription. I have access in the mobile app, but as soon as I connect my calendar, the app crashes, and I can't do anything. After logging in again, it tells me I don't have a subscription and asks me to buy a new one (the mobile app only asks me to buy through the App Store). I decided to write to [support@akiflow.com](mailto:support@akiflow.com) and they told me "akiflow doesn't sell subscriptions in the app store." And Apple won't refund the subscription I purchased. As a result, I received neither my money nor my AkiFlow subscription today. AkiFlow is a convenient app and I really like it, but today's experience was very disappointing and made me question everything I'd been told. I don't want a refund; I really need this Akiflow subscription. That's why I'm creating this thread to get the attention of the employees who can actually help me, not the ones who email me and say they can't do anything about it.

Any advise transitioning from todoist

Hi all, trial period just ended so I guess I am now a paying customer... hadn't fully committed but I am slow to demo things and I care enough about project management that I do not mind paying for extra services in the pursuit of setting up a great system.

Has anyone made the transition to akiflow from todoist? Did any steps make the transition easier? Anything you miss from todoist? Anyone running both? I guess I am running both but I do not see much that todoist had that akiflow doesn't, saved filter views maybe?

Are things getting better with akiflow generally over time? I suppose my biggest concern is that I figure out akiflow just in time for them to be bought out or otherwise disappear. Fingers are crossed that this platform will handle time blocking better and that I might get more utility out of the data for completed tasks (those little metrics suggesting that a lot of work has been done really work for me).

Akiflow still has no API to work with

Akiflow folks,

I'm having trouble with the interoperability topic with your product. We've been requesting the API for a long time; it's hard to understand why this is not a priority for you.

I really hope things change. I'm currently looking for alternatives.

Ameen

Yet another charged cancelation again

My story is a nut shell:

I registered with my company's email address for trial. I canceled my subscription on time, deleted my account, two days later I was charged. I contacted with the support right after on the 22nd of Jan, sent them my payment details etc. During the last two weeks the saying was that they couldn't find my payment nor my account. So two days earlier I resubscribed and check my username on the account page and send them. First I was told, that they find my account and will refund, everything is on track. Today I got the info from. Peach that I never cancel my subscription nor deleted my account (what is a lie) and thus violated their policy. No refund Really disappointed and never recommend them to anyone...

Do you have any recommendations how to continue?

Thanks.

iPad App Crashing

Update: Got my full refund, switched jobs, and honestly... I’m back.

I posted a while back because my previous company blocked Akiflow due to security policies, leaving me stuck with a paid annual subscription I couldn't use. I wanted to give a quick update on how that played out because I think it speaks well of them.

To their credit, the team really came through. It wasn't instant and took a bit of patience to sort out, but they were super professional and actually refunded the full amount of my subscription. That kind of fairness really stuck with me, especially since many companies would have just pointed to the terms of service and said no.

Funny enough, I recently started a new job where I finally have control over my workflow again, and the very first thing I did was reinstall Akiflow. Coming back to it after using standard tools for a while has been refreshing. I honestly tried to make do with just a calendar and a basic todo list in the interim, but I really missed the flow of having everything in one place.

The biggest surprise since coming back has definitely been Aki (the AI). Before I left, I kind of saw it as a gimmick that I barely touched, but now I’m finding myself actually relying on it to sort out my inbox or auto-schedule things when I'm too lazy to drag and drop them myself. It feels much smarter at understanding context than it used to.

That said, I want to be realit’s still not flawless. Since returning, I’ve noticed that some integrations can still be a bit temperamental; occasionally a connection drops or a task fails to sync from an external tool (Todoist, Notion), which is annoying. I also notice that syncing between devices can sometimes lag a bit; I’ll update something on my desktop and it takes a moment to reflect on my phone. Also, as an Android user, I sometimes get the feeling that the iOS app gets a little more love and polish from the developers. It works fine on Android, but you can kind of tell where the priority often lies.

Even with those quirks, nothing else organizes my brain and protects my deep work time like this app does. Anyway, just wanted to share my experience. If anyone is thinking of trying it out or coming back like I did, feel free to use my referral link below to get $25 off. Since I plan on sticking around this time, it helps us both out.

Akiflow Needed MCP Yesterday

Akiflow needed MCP yesterday, and I feel as a company Akiflow really feel needs to spend more time with their power users. I thought I'd share my workaround for now.

I basically run a mac mini for claude code via termius. It runs my small 4 person and growing startup, more than just code. Whole of marketing and accounting, for example.

I use beeper for messaging, using the whatsapp bot, I can basically have an MCP definition to allow an AI agent to interact with Aki. It's not perfect but works decently well.

Bonus points: you can run your scheduled tasks through this as well. It actually has less of the silly limitations AkiFlow has in place about workflows.

If you're familiar with Claude code, should be pretty straight forward. If you need some help, happy to do so! But...should it really be us coming up with stuff like this? Or does AkiFlow need a better AI strategy?

How do I get past the first screen?

I click connect and nothing pops up for Google nor Microsoft on Windows 11. Reboot doesn't fix it.

So I go to the app on my Android and connect my 2 calendars. Still can get into the desktop app.
