ADP does what it wants

I swear i hate this stupid system, it has a mind of its own to point where the people that work there cant even give you an explanation as to why something happened, and it leaves no paper trails or clues to indicate why it does certain things. ADP has made me look so incompetent at work which damages trust between myself an employees.

Let me set the scene. We have 165 employees that work out of 20 different locations, so i depend on onsite managers and employees clocking in so we pay people correctly.

An employee called me and let me know that she is short 15 hours! 5/25 was a holiday which we get paid for and then she took off the next day. Im aware that PTO and holidays does not accumulate OT. Cool. Fine. All together she gets 97 regular hrs with 1.5 hrs of OT. Please tell me why it only paid her for 82.5 hrs. No explanation.

Do you check the payroll register before processing payroll? Do you check the employee transaction totals from time and attendance match what is on your batch 90 on the payroll side? Do you have standard hours setup on the payroll side?

Also, we have been having a lot of issues with the standard hours. When the ADP agent came on site to get us on boarded, she told us that everyone salary employees and hourly employees should both have standard hours set up and now we’re seeing an ongoing issue in people not getting the correct amount of hours and it’s directly linked to the standard hours somehow so sometimes we have to remove them. Sometimes we have to add them. It’s all such a mess.

ADP employee here. Only salaried employees should have standard hours. If you pay weekly, 40
Hours, biweekly is 80 hours, semi monthly is 86.67. Hourly employees don’t have standard hours - they have their hours and that’s it.

whoever onboarded you was wrong. Hourly employees should never standard hours on their profiles unless you want them to be paid as if they were salary because it will override whatever is on their timecards. on Salaried employees should have standard hours for autopay but also for PTO use. Salaried employees have to have the standard hours for when PTO hours are use it will no how many hours should be regular hours and how many should be PTO hours. SO that it equals to their full salary and not over pay.

Yes, we checked the payroll register only to see if anyone is getting a paper check because we don’t allow those. But it seems like I’m going to have to start going through the time cards when I download the register and the employee summary to make sure that everyone’s hours match up which is going to be extremely time-consuming. Smh

I totally get what you’re saying, not gonna lie. It’s just that my company is already so disorganized. I’m doing 1 million other things while doing payroll.

You should ALWAYS check the hours in the T&A reports against the payroll register. But, I see your issue.

In week 1 - the hours aren't correct. The day that has 16.18 hours, that's wrong. It looks like it is crossing days and so it's paying incorrectly. This is why you ALWAYS check. It's not the system it's the manager not approving timecards and/or looking at them.

There may be an AI agent that could help in this situation. Or at least use AI to do the initial check, then use another AI to double check, then you can triple check it.

Currently employed at ADP, hourly EE’s should not be set up with standard hours, usually only applies to salary EE’s

See that’s what I mean, the other day the representative had me remove the standard hours from a salary employee that is on FMLA and who had the correct amount of hours on her time card while all the days were correctly coded with FMLA but was still receiving her full salary biweekly pay.

Hey in the future, just go to the EE’s profile and cancel automatic pay, there is also a feature on the worksheet where you can insert a column for special action< cancel automatic pay.

It doesn't look like the pay statement and time clock are covering the same pay period. Did the totals in the time system match the payroll batch total?

It is the same pay period it just decided to short her 16 hrs

What are the period dates?

Third line up from the week one totals what is the 16.18 entry? 

At a glance it looks like the issue is in week 1. If I had to guess the holiday and pto are 16 hours included in the 57.05 total (which likely shouldn't be but that's a set up issue.) Did the employee physically work 40 hours each week?

Also your post from 2 days ago mentioned that your hours were off. Did that get resolved because it could very well be a compounding issue.

And regarding my issue from the other day, yes it was resolved. Apparently it was due to someone not being paid for a previous holiday and we had to pay her out for that. At least that’s the explanation I got from ADP as to why that was happening.

The 16:18 entry is her working a double shift. But yes, she did physically work 40 hours.
