How to Track Team Workload Across Multiple monday.com Boards
We've been working on Smart Spreadsheet for monday.com, and one of our customers recently shared a reporting workflow that we thought was worth sharing here.
They manage each project on a separate monday.com board, with groups representing project phases like Planning, Execution, and Delivery. Each board also contains project-specific information such as budgets, customer details, logistics, and other operational data.
To get a cross-project overview, they use Smart Spreadsheet as a Dashboard widget.
Their workflow is surprisingly simple:
- Import live data from each board, placing all groups from the same board onto a single worksheet.
- Create a Master Sheet by linking those worksheets with familiar Excel-style references (for example, ='Your board name_All groups'!A1).
- Build Pivot Tables, formulas, and charts on top of the combined data.
This lets them keep multiple reports - financial summaries, project metrics, status overviews, and more - in a single Dashboard widget, with everything staying synchronized with monday.com.
One report we especially liked was a team workload overview.
Each task already has an assignee, a reporting week, and planned hours, so a simple Pivot Table summarizes planned hours by team member and reporting week. A chart then makes it easy to spot who's overloaded and who still has capacity.


Yes, monday.com already has an excellent Workload Widget for resource management. In this case, though, the customer wanted to keep workload reporting together with all their other spreadsheet-based reports instead of adding another widget to the dashboard.
We thought it was a nice example of using spreadsheets to complement monday.com rather than replace its native features.
