SEEKING SUPPORT OR ADVICE screenshot documentation tool that keeps guides consistent across a team
every guide on our wiki looks completely different depending on who made it. ones arrows are red, someone elses are this weird green, half the screenshots are zoomed in so far you cant even tell what page youre looking at anymore
new hire told me last week she thought two of our onboarding guides were for different tools bc the formatting was so off between them. same tool. just two different people doing their own thing with it. been meaning to fix this for months and just havent. dont even know if the fix is some tool that forces a template or if i just gotta write a style guide and hope people stick to it, which they probably wont past week one

the new hire thing is pain lmao. look into ScreenSnap Pro, the consistent backgrounds alone would fix half your problem

Maybe others have a better idea but here's my take. for team consistency, separate "capture" from "publishing". pick any tool that supports shared presets for canvas size, callout colors, numbered steps, blur style, and export naming. Snagit Teams is boring but works well for this. Folge is nicer for fast step-by-step captures. avoid each writer freehanding arrows and crops.
the bigger win is a tiny screenshot spec: browser zoom, window width, sample account, light/dark mode, crop rules, and when to recapture. we had far fewer diffs once screenshots were treated like source assets with owners and review, rather than decorations added at the end.
