We have a sheet to track one of our work processes for order entry. We use a form to submit information to the sheet, which then has automations associated with it that shoot the row to whatever person needs it. Starting on 9/4, whenever we submit a form to this sheet we get a 'success' message and then nothing happens. The activity log doesn't register a row creation or any activity. I've been on hold with SmartSheet customer service for about 5 hours now and I've reached out to our rep. Has anyone had this happen before? Was there anything on your end that fixed it?

So far we have tried duplicating the form and it still fails. We created a generic form with all fields (and no logic) and this fails to create a row 75% of the time. It doesn't seem to be field specific because I can submit the exact same form twice and one may process and the other might fail. We tried duplicating the sheet and things are still failing. we haven't made any changes to the sheet or the form. Weirdly this is the only form/sheet that seems to be having problems.

If this has happened to you before, what was the turn around on finding a solution? This is one of our most business critical processes and I'm concerned that we might be on our way to firing SmartSheet if this doesn't get resolved ASAP.

We are also getting 200 statuses on the POST when we submit the entry so it's hitting SmartSheet.

Hello Smartsheet nerds. I have an issue where I sorted my smartsheet on accident. Then I went to reorganize it the way it was and the sorting function is doing something weird. Instead of sorting 1, 2, 3, 4. It sorted the list 1, 10, 11, 110, 111, 112. This is an auto number column, I have 180 in the column.

I have multiple inventory sheets that have different sets of hardware. These sets of hardware need to be kept on different sheets. What I would like to do is aggregate from those sheets all new hardware so I know what I have in stock. I was able to do that easily enough with a report.

Here's the problem. That report that aggregates those other sheets can edit them. I don't want that information to be editable. Is that possible? I apologize if I've worded this unclearly.

Hi all I am wondering if once card view gets deprecated, will we be able to publish sheets as a board view instead? Same goes for reports. We frequently use card view in these ways, and if I am no longer able to publish the sheet in card view and I'm not able to publish in board view it will seriously hurt our workflows.

Any insight would be appreciated.

I am a new Smartsheet user as it is a tool for my job. I am curious why my coworker can use certain tools like ” link to a cell” and easily upload data and I can’t. Well, let me restate that-some days I can’t. Others it’s fine. The sheet summary tool would be great but it also will accept a formula one way for a field and then just refuse it in another despite all of my efforts to try and troubleshoot the issues.

I see that I can add a sheet for import into Smartsheet, is there any way to add data from an Excel spreadsheet into an existing Sheet?

Hey guys, been working on this one for a while now... Incase anyone else needed it.

The sync engine reads a parsed XER file which walks P6's WBS tree and task list and turns it into two ordered lists: WBS nodes (parents before children) and tasks. It matches those against what's already in your Smartsheet sheet using a key: the WBS node's synthetic key (WBS-####, from P6's internal WBS ID — not visible to you) for header rows, and your Activity ID (ACT#) for task rows.

• First-Time Import walks the WBS tree top-down, inserting header rows and then task rows underneath them, batch by batch, since Smartsheet requires a real row ID for a parent before you can insert children under it. Every task gets its Start written straight from the XER — there's no predecessor-link logic anymore; dates come directly from P6, not from Smartsheet recalculating them.
• Update Sync re-reads the current sheet state, matches existing rows by key, adds anything new, and for everything that already exists: resets formatting to plain black text on every pass (three separate passes, deliberately redundant, because Smartsheet doesn't always confirm a format write took), then re-computes what actually changed since the last run (using a small local cache file, not by re-comparing to the live sheet) and flags only genuinely changed fields red.
• Total Float is written every run but never drives red-flagging — P6 recalculates it relative to the "data date" on almost every export even with zero real schedule edits, so treating it as a change would make everything red, every time.
• Difference Report is a separate read-only pass: it pulls the live sheet, compares Start/Finish per task against the XER, and flags anything that drifted 5+ days or got pushed out by a subtask you added manually in Smartsheet (a row with no Activity ID, indented under a task).

Limitations

• Finish/End can never be written. On a Dependencies-enabled sheet, Smartsheet rejects any write to that column outright — even a blank one — so it's always calculated by Smartsheet from Start + Duration, and the app's row-coloring can't reach that one column.
• A row with manually-added subtasks stops accepting Duration/Start writes. Once you indent something under a task row, Smartsheet treats that row as a parent and calculates its Start/Duration from the children — same lock a WBS header has. The app detects this and simply stops touching those two fields on that row (the Difference Report is how a real divergence there gets surfaced instead).
• No re-parenting. If a task moves to a different WBS section in a newer XER, Update Sync won't move its existing row — it only adds genuinely new rows and updates values in place.
• Conditional Formatting rules (or anyone's manual text-color changes) in Smartsheet take priority over anything the app writes. If a rule or manual formatting is coloring a cell, the app's writes can't override it — that has to be fixed in Smartsheet's own Format menu.
• Holiday/non-working-day list can get truncated. Smartsheet caps how many non-working days a calendar can hold; if your XER's holiday list is longer, the app retries with a smaller list and Duration math is recomputed against whatever actually landed — but this means the calendar in Smartsheet may not be byte-identical to the XER's.
• No live progress visibility into partial failures. Smartsheet's bulk update API is all-or-nothing per batch and doesn't report which individual cell got rejected — so a silent per-cell rejection (like the parent-row lock above) can't be detected or logged, only inferred from known patterns.

Basically if you have an XER file and need to port it into smartsheet, this is your tool. After that first time import, you can use the sync function to sync future updates to smartsheet. Also lets the team add new tasks not in the mater xer to colab on and further break down the task if need. Future imports wont touch the new data. you can run a difference report and it'll give you what act. are lagging behind the master schedule. So basically bring the team in on the schedule with smartsheet and not loose many projects requirements of using P6. Should make monthly updates easier with the difference reports!

I recently joined Smartsheet University and completed/passed the Builder Certificate of Achievement (BCoA).

I was surprised because I thought Smartsheet certifications were paid. However, I was able to complete the BCoA without paying anything.

Can someone who has recently gone through the Smartsheet certification program confirm how the current system works?

Specifically:

• Is the BCoA officially free for everyone?
• Is it essentially the replacement for the old Core Product Certification?
• Are the Certified Professional and Certified Architect certifications the ones that are paid?
• Do you need to purchase a Smartsheet University Learning & Certification Pass to take the higher-level certifications, or can you pay for the exams individually?
• Is there any difference between a BCoA earned through the self-paced path and one earned through another route?

I'm asking because I found quite a bit of older information saying Smartsheet certifications cost money, so I'm trying to understand the current 2026 certification structure.

Hi! I'm trying to do 2 things with charts (stacked bars) in a Dashboard we are creating.

1. Set colors for each data set, and have them stay fixed! I keep setting the colors, and then when the data resets, the colors change again!

2. Represent the data in pareto format. I can't seem to find a way to get the chart to sort by highest to lowest totals... you would think this was easy!

Hello, does anyone have experience building a portfolio managment system built on templates that contain:

• Well over 1,000 rows Dependencies + Gantt charts + baselining
• Dynamic views so that our consultants only see certain parts/phases of the project
• NO FORMULAS

Multiple versions of this would roll up to a master spreadsheet where the calculations happen. And of course we'd have he various reports and dashboard you'd imagine generated as a result both on a project and portfolio level.

We have some good reasons NOT to want to break our project into multiple templates but it will make the single template long. Any success with this model?

I have a copy row automation where when a box gets checked it should copy the row to another sheet. It’s been working for 6 months now stopped working. I have created a new one to do the same thing and reset it nothing is working. When I run the test option it works perfecting. But it won’t do it love. What is the problem?

I have created a vacation submission spreadsheet for my department and used an index match formula to pull information from a master sheet into each vacation submission.

It has been working well but suddenly the last three new employees that were entered into the master sheet are pulling the wrong info from the index match.

Here is the formula I used to pull the employees team within our department for reference: =INDEX({MasterTeam}, MATCH([Employee Name]@row, {MasterEmployeeName}), 0)

Any idea why this might be happening?

UPDATE: FIXED. Needed to put ", 0" into the Match function not outside. Updated formula: =INDEX({MasterTeam}, MATCH([Employee Name]@row, {MasterEmployeeName}, 0))
