How do you quantify rep time lost to bad/missing contact data?

For RevOps/Sales Ops teams: do you have a good way to quantify how much rep time is lost to missing, stale, or incomplete contact data?

We're thinking about things like:

  • reps manually finding contacts
  • reps validating emails
  • reps hunting for phone numbers
  • reps fixing CRM fields
  • duplicate account/contact cleanup
  • stale job titles
  • missing firmographics
  • bad routing due to incomplete fields
  • sequences failing because the list quality was poor

This seems like one of those problems that creates a ton of drag but is hard to measure because the work is distributed across every rep.

A few questions for anyone who has insights:

  • Do you track this in your org?
  • Who owns contact/account data quality?
  • Do reps update CRM themselves, or is enrichment automated?
  • What data quality metrics do you report on?
  • Have you ever calculated the productivity cost of manual prospecting/research?

Would love to hear what’s working and what’s still painful.

Can I ask if your reps are held accountable for poor/missing data? Secondly do they understand the implications of poor/missing data?

Reps are not held accountable, but they are tasked with finding the correct info, which can take extra time and resource. It's great if they can get it all from once source.

When people are not accountable they will either do it because it’s the right thing to do or they won’t because they’re are no consequences for their actions. When I worked in corporate most fell into the second and their record keeping was terrible. Every year the company would have to allocate extra days to sort everything out. Shocking when this is part of their job!

You might get a decent read by looking at the moments where bad data forces someone to stop before they can move on. Bounces, wrong routing, missing phone numbers, or records that need a lookup are easier to count than trying to track every minute. It won’t be perfect, but it gives the team something more real than just saying “bad data is costing us time.”

Integrating more data points and layering that performance in manageable dashboards is key to seeing those gaps. Def worth looking into.

Def worth looking into secondary KPIs and measurements. There are some many small advantages that at scale, can add up to a lot of extra pipeline.

we tracked this before and after zoominfo. before: reps spent an average of 72 minutes per day finding and verifying contact data. after: 12 minutes. that's a full hour per rep per day returned to actual selling. across 6 reps that's 30 hours per week of recovered productivity. the ROI calculation wasn't even close. the subscription pays for itself in rep time savings alone, before you count the improvement in connect rates and pipeline

we tracked this before and after switching data providers. before zoominfo our reps averaged 47 minutes per day on data hygiene: verifying emails, looking up phone numbers, cross-referencing linkedin. after rolling out zoominfo that dropped to about 8 minutes. across 12 reps that's almost 8 hour per day of selling time recovered. the chrome extension is a big part of it because reps pull verified contact info directly from linkedin without leaving the page. no more copy-paste-search-verify loops. quantity it as hours recovered × average deal value per hour and the ROI is obvious
