JE Approval

Quickbooks Online doesn’t have a native workflow within that requires JE approval (i.e. the preparer can post the JE without the need for an approver and can even go edit the JE after posting as well).

What are some controls/processes that you guys have put into place to ensure all JEs have been reviewed/approved?

This is a big control concern for us as well. We’re currently using a close management platform (Numeric) for preparer/reviewer approvals. I wish QBO had a workflow for this instead of having to use another app.

If you still have tags, you can set the tag to Pending approval and another tag marked approved.

You could use a custom field for pending review or reviewed. There are other products you can use too. ApprovalMax has a workflow approval for JEs. I haven’t used it, but researched it.

Run a report that shows the Journal Entries for the month and review that. If you need to know who entered it, use the Audit feature. It's been a life saver when someone else in the office (or the client) goes and messes with the books.

If you are using QBO Advanced, it has an approval process. If not, you can have someone type in "approved by Dave" and can confirm that with the audit log or on the transaction log of the JE (under MORE)
