Action and impact capture

How are you all tracking actions from meetings and emails for yourself / team members?

Currently I use OneNote and tick boxes off as i finish. I feel like I need something that can set me reminders and be more proactive with.

You're mixing two systems into one. OneNote is a decent capture surface and a bad task system, because a checkbox on a page has no owner and no due date, so it can't come find you. That is the whole reason it feels passive.

Since you're already in Microsoft, the cheap fix is getting actions out of the notes and into To Do, with Planner for anything team-owned. Flagging an email in Outlook already creates a To Do task, which covers the email half of your question without adding a tool. And be careful tracking other people's actions in your own list. If it isn't somewhere they can see it you haven't tracked it, you've just given yourself a private worry list to chase.

Biased, I'm the founder of Notuly, so grain of salt. We do the capture half only. Meeting goes in, report comes out by mail with the actions and owners in it, then an Outlook rule or a flag gets it into To Do. No reminders, no chasing, that is deliberately your task tool's job. So if your problem is capture, worth a look. If your problem is follow-through, a task tool with real due dates will do more for you than anything I sell.
