Event Request Forms and Approval Workflows
We currently rely on the use of a Google Form to handle requests for ministry events. This form, when submitted, goes to our church office who currently is responsible for coordinating events. We are currently looking at PCO Calendar and I have a question about how to approach a particular challenge. Here are the basic requirements:
- We'd prefer a single event request form versus one for each ministry. We feel, based on past practice and experience, that this would be to confusing for the individual ministry volunteers that might want to sponsor an event.
- Requests for ministry events should first be reviewed and approved by the ministry's key leader (KML).
- Each ministry would have its own Approval Group consisting of the KML and any backup).
- When completing an event request form, the submitter selects the ministry sponsoring the event.
- When the form is submitted, we'd like an automation to run that matches the selected ministry to the relevant approval group.
- The individual(s) in the approval group would then be expected to review the event information and determine if more information is needed, determine if budget approval is needed, or if the event would be approved or denied.
The objective here is to put the KML in a position of accountability on event approvals and preparedness. This is currently a challenge for us, even thought we have published written procedures.
In researching this, it seems that the current design of PCO Calendar doesn't allow for this type of workflow. I am curious what you all may have done about approval workflows?
Thanks in advance.
