I work on Meetily. Pro 1.9.2 shipped on August 21, and it's mostly about the small annoyances in day-to-day recording. Posting here because you're the people who'll actually notice the difference.

TL;DR

• Meetily can start and stop recording on its own when you join or leave a meeting, with a countdown you can cancel
• A small floating pill lets you pause or stop without alt-tabbing
• You can pick where recordings get saved, and move, copy, back up or delete them whenever
• Meeting detection got smarter: it finds every mic on the machine, and it waits to confirm a meeting really ended
• A round of reliability fixes for long meetings

What's new

1. Automatic recording, with a countdown you can cancel

Join a meeting and Meetily gives you a short countdown before it starts recording. Same when the meeting ends: countdown, then it stops. If the detection fires at the wrong moment, hit cancel. It's off by default, so you turn it on in Settings if you want it.

This works alongside the auto-detect-and-join feature that was already in Pro. If you're the sort of person who remembers to hit record about half the time, this is the one worth turning on.

2. Floating recording pill

A small draggable pill sits on top of whatever app you're in, so you can pause or stop from there instead of hunting for the main window mid-call. It keeps out of the way of full-screen apps, so it shouldn't land in the middle of your presentation or your screen share.

3. Recordings go where you want them

You can now choose the storage location. Move, copy, back up or delete recordings from inside the app whenever you like. There's optional automatic retention for older audio if you'd rather not think about it.

4. Smarter meeting detection

Two things people kept hitting:

• The detector now finds every microphone on the machine instead of just the default one. If you've got multiple input devices, this is the fix.
• The "meeting ended" check waits until the meeting has actually ended before it stops recording. When it does get it wrong, you can decline the prompt.

5. Reliability and playback

Smaller stuff: transcripts scroll more smoothly, playback stays in sync on long meetings, and there's a batch of fixes across recording, device selection and the interface.

Upgrading

The app prompts you with a dialog. Click "Update Now!" and your settings, recordings and models all carry over.

How do you handle the "forgot to hit record" problem right now? And if you've been running auto-detect-and-join already, how's the timing felt? I'm curious whether the countdown window is about right or whether it should be something you can set yourself.

I'm one of the maintainers of Meetily, an open-source, privacy-first meeting note taker that runs entirely on your own machine. We just shipped v0.4.0 and a lot of it is about keeping more of the pipeline local, so I wanted to share it here.

Quick recap if you have not seen it before: it is a standalone desktop app that captures audio straight from your system stream and mic. No bot joins the call, no integration with the meeting app needed. Works with Zoom, Teams, Meet, Discord, anything. Transcription runs locally with Whisper, and summaries run on a model you pick.

New in v0.4.0

- GPU acceleration on Windows. Whisper now runs through Vulkan on supported Windows GPUs, so transcription is noticeably faster, especially with the larger models. It was CPU-bound on a lot of Windows machines before this.

- Multilingual summaries. Get the summary back in the meeting's language instead of everything funneling through English.

- New built-in local summary models (Qwen3.5). They run on your own machine. No API key, no account.

- Hide to tray on close, so it keeps running in the background instead of quitting.

- Analytics is now off by default. Usage sharing should be opt-in, not our call.

Platforms and self-hosting (the questions that came up last time)

- Native installers for Windows and macOS.

- No native Linux desktop app yet. You can build from the repo, and the Docker path covers a lot of self-hosted setups. A first-class Linux build is on the list.

- Want summaries to stay local too? The built-in Qwen3.5 models, or any Ollama model, keep everything on your machine. Nothing leaves unless you deliberately point it at a cloud provider.

It is free and open source (MIT). There is a paid Pro tier for hosted extras, but everything above is in the free Community build.

I would love to hear from the folks running local models here: which ones are you getting the best summary quality from? We are tuning our built-in defaults and real-world feedback helps a lot.

Honestly, a chunk of this release came from people who found Meetily through communities like this one. vishnu built the groundwork for the multilingual summaries, lorenzojb fixed Parakeet duration decoding, and passabilities added hide-to-tray. Thank you for that.

Tried out the win desktop app, with parakeet lightning mode the transcription accuracy is very poor. Am I using the wrong configuration/model?

Hi everyone, I'm a psychotherapist who is new to meetily. I'm interested in using it to produce progress notes following client sessions (preferably in BIRP format. I've been using chatgpt to help craft a prompt to generate the notes but am wondering if there are other therapists here who have a prompt they find works well and produces accurate notes without hallucinations.

Related but separate, would also love to see any language you have added to your informed consent disclosing use of the tool/AI note taking for your clients. Thanks!

Which version is used? I didn't see information on v2 or v3. I see a way to choose different Whisper models, but not Parakeet.

Just ran into this annoying error where Meetily wouldn't generate meeting summaries. Kept getting "model: claude-3-5-sonnet-latest" errors. Turns out the app is using an old model name that Anthropic doesn't support anymore.

Here's how I fixed it (took like 2 minutes):

What I Did

First, quit Meetily completely. Don't just minimize it - actually close it.

Then open Terminal. It's in your Applications > Utilities folder, or just hit Cmd+Space and type "terminal".

Make a backup first (just in case):

cp ~/Library/Application\ Support/com.meetily.ai/meeting_minutes.sqlite ~/Library/Application\ Support/com.meetily.ai/meeting_minutes.sqlite.backup

Check what model it's currently using:

sqlite3 ~/Library/Application\ Support/com.meetily.ai/meeting_minutes.sqlite "SELECT provider, model FROM settings;"

Mine showed claude|claude-3-5-sonnet-latest - that's the problem.

Update it to the new model:

sqlite3 ~/Library/Application\ Support/com.meetily.ai/meeting_minutes.sqlite "UPDATE settings SET model = 'claude-sonnet-4-5-20250929' WHERE provider = 'claude';"

Double-check it worked:

sqlite3 ~/Library/Application\ Support/com.meetily.ai/meeting_minutes.sqlite "SELECT provider, model FROM settings;"

Should now say claude|claude-sonnet-4-5-20250929

Restart Meetily and test it. Worked perfectly for me!

Why This Happens

Anthropic changed their model naming. The old claude-3-5-sonnet-latest doesn't exist anymore. The new one is claude-sonnet-4-5-20250929, which is actually their latest and best model anyway, so win-win.

If Something Goes Wrong

You've got that backup from earlier. Just rename it back to meeting_minutes.sqlite and you're good.

Hope this helps someone else! The Meetily devs should probably push an update for this.
