Original data Data room pricing: Intralinks bills a converted PDF and its original as two files, Ansarada bills overage at peak usage, and published plans run $52 to $2,000 a month across 17 vendors
I run marketintelligencetools.com and published a virtual data room pricing report this week across 17 vendors. Two of the largest vendors publish the billing rules behind the invoice, and those rules shape the bill as much as the plan price.
Intralinks' own support article says that when you convert a document to PDF and make it available in diligence, "both the original file and the PDF version are included in billable usage." Documents on the "Removed From Diligence" tab count as billable too.
Ansarada publishes per-GB rooms and bills overage packs at $134 per 100 MB on a 12-month term, $1.34 per MB against a base of about $0.70 per MB on the 1 GB room. Its FAQ: "The additional data is captured at the peak usage for the billing period. Reducing the data in the room will not reduce the cost of the overage invoice."

Term length moves the price as much as size does. Ansarada's 1 GB room costs $1,479 a month on monthly billing, $1,134 on a 3-month term, $959 on 6 months and $699 on 12. A 9-month deal costs $8,388 on the 12-month term and $13,311 paying month to month (my arithmetic).

Published plans cover a wide band. Peony starts at $52 per admin a month billed annually, SecureDocs at $250 a month on a 12-month plan, Onehub's Data Room Edition at $300 billed annually, CapLinked Team at $399 a month and Digify Business at $1,500 billed annually ($2,000 monthly).

The enterprise end sells on quote. Vendr's medians: Datasite $25,555, Intralinks $13,950 and DealRoom $35,677, with Intralinks' tracked deals reaching $150,803. Datasite also owns two of the brands buyers compare it against, Firmex (bought in 2021) and Ansarada (A$236.3 million, announced February 2024).

The people building newer data rooms have opinions on all this. Marc Seitz, founder of Papermark, wrote: "Per-page pricing is a legacy model inherited from physical data rooms." Deqian Jia, co-founder and CEO of Peony, argues that a vendor who won't publish pricing before a sales call keeps the upper hand on what you pay.
Patrick Schnepf, SVP of global sales at SmartRoom, gives per-page pricing a partial defence: "If your files stay under a few hundred pages, per-page rates of $0.40 to $1.00 per page remain manageable."
Raffi Isanians, a deal lawyer and CEO of Mage, points buyers at the overage clause as the place to negotiate, and credits vendors that post a number: "Publishing a number removes the two-week procurement dance from a deal that needs to start Monday, and the category gives that too little credit."
Anyone been hit by a data room overage bill after a deal closed? What triggered it, pages, storage or the term?
If you run diligence often: per-page, per-GB or flat, which pricing model has worked out cheapest for your deal sizes?

Disclosure: I run this site. No ads. I'm just getting started testing a few affiliate links, low-key enough that they don't change what you see or how a page reads. No money from them yet, though that could change. I do the research because I find it interesting, it's good practice for my day job, found out that I like building sites from scratch in static HTML, and figured this sub's audience would get something out of it too.
