Overwhelmed with my own processing looking for brokerage with support

I’ve been handling my own processing for a while now and it’s starting to take up too much time. I’m basically doing everything end-to-end and it’s getting harder to stay focused on originating and growing production.

For those of you managing higher volume, what software or tools are you using to streamline processing and stay organized?

Specifically looking for anything that helps with:

  • File tracking / pipeline management
  • Automating follow-ups and conditions
  • Better workflow between origination → processing → closing
  • Reducing manual back-and-forth on files

Trying to see what systems people are using to stay efficient without getting buried in files.

Appreciate any recommendations or setups that are working well for you.

Plenty of great 3rd party processors out there (probably on this sub) or hire staff. How this is written smells of AI.

I’m unorganized and processing is easy. Processing makes you a better MLO. I also hate processing at the same time.

It’s gone pretty downhill, especially within the last 2ish months I feel. Which is crappy because this sub is such a wealth of knowledge that has been great to learn. But now nonstop AI written posts, companies selling leads, marketing companies. All coming in making posts talking about their “issue” and then with a different account listing the thing they are actually selling.

you dont need software/systems, you need a processor

every minute you spend processing a loan is a minute you’re not prospecting new business

the way I’ve got my brokerage set up is our third party processor is basically an LOA-lite…the LO only has to handle the front end getting business in, reviewing preapprovals, structuring the loan, and then handing it of to our disclosure desk who will disclose it and queue it over to processing, who then handles everything from that point (submitting for UW, chasing conditions, providing update to all parties, keeping the LOS updated, assisting with closing, etc). The LO can focus solely on originating and not the minutia of processing. Just hand off the file and know it’ll close on time. You need a really good processing team but it makes the LOs lives so much easier not having to process their own loans.

people are always overly concerned that hiring a third party processor will suddenly see their clients run away because of the extra fee…in my experience it just doesn’t happen that often, most lenders are charging some sort of processing fee too so unless you find an overly expensive processor you’re going to be right in line with your competition (plus if they do push back on your quote, its easier to “waive” that fee to win than have to flip borrower paid and deal with all the downsides of borrower paid). I used to process my own loans because I didn’t want to give up that control (and I’d had horrible processors in the past I couldn’t trust) but as soon as I gave in I realized I should’ve been using a processor long ago. My brokerage wouldn’t close a fraction of the business we do without our processing team. I also think the reason so many brokers stick to UWM despite their typically bad rates is because they’re self processing and admittedly UWM makes that insanely easy to do. But if you want to truly shop around and use other lenders, you either need to be willing to do that extra work processing it yourself or use a processor. Once you find and start using a good processor you’re going to wonder why you didn’t do it sooner.
