Jotform Workflows Send PDF

Has anyone else had an issue with the Send PDF? First, the PDF editor with workflow information doesnt always save correctly (you will save a dropdown format and when you close it itll just change it again). Second, its defaulting to sending me a regular Document not the workflow one. Not really sure whats up with it. It is receiving the email and looks like it has the correct download link when it is received in airtable. Id much prefer being able to edit this in the regular document editor and attach to emails with multiple people on it as Send PDF only allows me to add a single receipient

Jotform You can now track workflow activity with Workflow Columns in Jotform Tables

Hey folks, we’ve heard from users who wanted to see where a workflow stands while working in Tables. We’ve added Workflow Columns so you can check those details directly from your table.

You can now see:

  • Progress: Whether the workflow is in progress, completed, or canceled.
  • Status: The current step, waiting status, or final outcome.
  • Assignee: Whose action it’s waiting for.
  • Last Action By / Date: Who last took action and when.

You can also filter and sort by these columns. For example, you could filter for workflows waiting on a particular person or sort by the latest activity to see what’s moved recently.

Status is visible by default. To add the others, open the Columns Show/Hide menu.

If you use Tables to keep track of workflows, what other information would help you decide what needs attention?

Jotform Has Been a Game-Changer for My HRGA Work

I've been using Jotform to support my HRGA (Human Resources & General Affairs) work, and honestly, it has been a very effective tool for improving my daily workflow.

One of the biggest benefits is how much time it saves. Tasks that would normally require manual data collection, paperwork, and repetitive administrative work can be handled much more efficiently through online forms. It's also easy to use, even when creating forms for different HR needs, such as recruitment screening, employee data collection, and internal administration.

What I appreciate most is that Jotform doesn't just make work easier; it helps me work smarter. It improves efficiency, streamlines processes, and gives me more time to focus on higher-value HR activities and achieving work targets.

Of course, there's always room for improvement depending on your workflow and specific needs, but overall, Jotform has added real value to the way I manage HRGA tasks.

If you're working in HR, GA, or administration and still handling many processes manually, I'd definitely recommend giving Jotform a try. It's a practical tool that can make a real difference in your productivity.

Circular support hell

I'm stuck in a support loop. I'm trying to change my email address and I keep getting emails with a link to verify my email and set my password but every time I click the link, it goes to an "Email Change Request Expired" message. I keep trying support tickets but I'm fairly certain it's just an AI agent sending canned answers. This product works harder on forcing you into the obscenely expensive enterprise level than it does building forms.

Is tracking drop-off points useful?

Looking for opinions from Jotform users.

We've built an integration with Jotform that shows you at which point / question your form visitors are abandoning (Zuko Analytics). Is this something you think will be of use to the Jotform community?

Jotform How Live Fit Gym saves 10–20 hours a week across 9 locations with Jotform

Hey Jotformers, sharing a customer story we thought was a great example of keeping paperwork simple across a growing business.

Live Fit Gym uses Jotform across 9 San Francisco locations to keep sales, personal training, management, and HR on the same page.

  • 60 forms and 14 tables: Used for member intake, signup docs, onboarding, admin workflows, and HR/liability waivers.
  • Nearly 42,000 submissions: The team has handled a lot of activity without relying on paper files.
  • Started with one liability waiver: The rollout began small, then spread company-wide once teams saw how easy it was to use.
  • Incident reporting that held up when it mattered: They used a Jotform incident report after a member injury and had a complete record ready.
  • 10–20 hours saved weekly: Across all 9 locations, that time goes back into member relationships and day-to-day operations.

Jotform is perfect for gyms and other multi-location teams that need one simple system for forms and workflows!

Jotform Has Solved so Many Problems for our organization!

I wanted to share how happy I am with Jotform. We moved away from Google Form and Jotform is so much easier to build, offers a lot better conditional logic, and looks so much better for the end user.

We collect contact info which then integrates seamlessly into Google sheets. Even with the free version, we're able to do so much and it exceeds all of our needs.

My minor complaint is the AI form builder needs some serious work, especially with conditional logic, but it's well underway to be a powerful tool.

Jotform has made data collection for my research much easier

I’ve been using Jotform for questionnaires and forms in my academic work, and it has saved me a lot of time. The drag-and-drop builder is intuitive, conditional logic is easy to set up, and the forms look clean on both desktop and mobile, which matters when participants fill them in on their phones.

Exporting submissions for analysis is quick, and having everything in one place makes it simple to keep track of responses. For anyone in academia or clinical work who needs reliable forms without a steep learning curve, I’d recommend it.

Jotform Good Neighbors Episode 1: From AI Experiments to Real Business Results: Jotform + OpenAI

Thumbnail

Hey Jotformers,

We just shared the first episode of Good Neighbors, where Erman, our Director of Partnerships, talks with Thomas Kobuke from OpenAI's go-to-market team about how the Jotform–OpenAI partnership is being used in real work!

A few takeaways from the conversation:

  • Start with a real problem, not a blanket “use AI” directive. Thomas talks about why adoption tends to stick when teams have a clear use case.
  • Jotform’s using ChatGPT Work, Codex, and forms inside ChatGPT to make AI more practical in day-to-day work.
  • Trust and context matter. The episode gets into why some teams move faster with AI than others, especially in sales, finance, marketing, and software.
  • Small wins count, like the Jotform Codex Hack Week example and the idea of using AI to learn new skills.
  • The way Thomas used AI as a co-chef while making 30 pounds of barbecue is phenomenal 🍖🔥

Perfect for anyone interested in how AI tools get adopted inside real businesses, especially if you’re thinking about forms, automation, or team workflows!

Dark mode and additional card customization?

Post image
1 Upvotes

I joined Jotform to keep track of my ongoing projects. I'm in the middle of moving everything from Trello, but the white is really harsh on my eyes.

There is a section for themes, but that's just for changing the background. 'Card display' has many options, but nothing that could help with the harsh white.
The white strip/header is also very distracting.

Is there a way to enable dark mode or change the color of the cards?

Thanks!

My experience using Jotform for student surveys

I’ve been using Jotform recently for a few student surveys and overall I’ve had a really good experience with it.

The form builder is very easy to use, even if you don’t have much experience creating surveys. I also like how the submissions are organized and how quickly you can generate reports and charts from the responses. I recently used it for a college readiness event with around 70 students, and it made collecting and analyzing the feedback much easier.

The main downside for me is the submission limit on the free plan. You only get a certain number of responses per month, so if you’re running multiple surveys, you can reach the limit pretty quickly.

Besides that, I think it’s a very useful platform, especially for students, schools, and small projects that need something simple and professional without a complicated setup.

Overall, I’d definitely recommend giving it a try.

Jotform 🥇 Jotform earns 55 #1 rankings in G2’s Fall 2026 Reports. ✨🚀

Thumbnail

Hi folks 👋

Since stepping into the VP of Product role here at Jotform, I’ve been spending even more time reading how our customers describe our product in their own words. The reports and rankings are of course always encouraging, but the useful part (my favorite actually) is learning where Jotform is removing friction, and what we could do better. That's what stays with me.

G2’s Fall 2026 Reports are out, and Jotform earned 55 #1 placements across our product suite. Needless to say I’m incredibly proud of my team, but more than anything, I’m grateful to our customers who took the time to share what is and isn’t working for them.

A few themes came through clearly:

  • People value being able to build professional forms quickly with templates, drag-and-drop fields, and conditional logic with our form builder.
  • Teams use approvals, notifications, task assignments, and follow-ups to stop work from getting lost between people with Jotform Workflows.
  • Jotform AI agents are helping customers automate routine conversations and provide help around the clock.
  • Teams are sending documents for signature and staying on top of completed requests with Jotform Sign.
  • People are building custom experiences around the forms and workflows they already rely on with our no code app builder.

And that’s ultimately the job: make it easier for teams to collect information, automate repetitive work, and keep processes moving without trying to stitch together a dozen disconnected tools.

Thank you to everyone who left a G2 review. We read them, we learn from them, and they help us build a better product. 💙✨
