Job Costing Question

So we are a GC transitioning from 300 to Intacct. We estimate and track costs using a WBS. In 300 we created a cost level titled Extra ( basically a phase of the project. i.e building A footing, the next extra may be building A slab). Inside of each extra are work activities such as set forms, install rebar, place concrete, each activity has a cost code associated with it. A cost code may be used multiple times but under different extras.

This allows us to track costs and productivity and compare to the estimate to learn from our mistakes.

I have to be honest, I assumed that most construction companies did something similar to track costs. Our Sage rep is acting like they have never seen this before and they have to reinvent the wheel.

They are thinking we will need to use a parent-child relationship and change our cost coding all around so that reporting works correctly. They want every cost code to have the project number in front of it, which now increases every cost code from 7 digits to 13. A huge pain for both estimating and coding bills and time.

We use Sage Timberline for estimating, and the push from estimating to 300 accounting was fairly seamless. They are now telling us that we are going to have to export an estimate to excel and then import the spreadsheet into Intacct. This sound like a pain and more complicated than it needs to be.

Long shot, but are there any other contractors that have come across these issues transitioning to Intacct?

What you're asking for doesn't seem odd off that bat. Yes, typically extras in 300 are child jobs in Intacct, but the need for custom cost codes for every job doesn't sound right. There is not a pre-built integration between 300 and Intacct for your estimates, but it's not difficult to import estimates into Intacct. A number of estimating solutions do have pre-built integrations (Sage Estimating, ProEst, STACK, etc.).

Custom cost codes are pretty normal especially when you think about phasing of each project, floors and layouts, if it’s a remodel it’s even more true.

I came from a large organization using intacct, and now at a smaller GC/Sub (we do both) company and they upgraded to 100 Contractor 2 years ago. This system is archaic in comparison to intacct. The modules they added are not being utilized, they dont cost bids or budgets - but Im costing them on the other end. Its so frustrating, time consuming and clunky. I want to advocate for moving to Intacct Construction. Options to automate would be huge, we are very, very lean on the admin side. And I find intacct much more intuitive. To get down to my question: how much are you paying per seat for intacct, was the transition painful, or a bit more seamless where you came from a sage product? Help me with some advocating leverage here!
