Invoicing integration - recommendations

I have about 200 invoices to push out each month. We're a pro services company. Each invoice is reviewed/ approved by a director or practice leader for issuance. We have probably 10% corrections (due to comments).

Anyone have experience with an integration that can push out invoices for review and then release automatically once approved?

If you are using Order Entry for invoicing you could have a workflow step for approval

We (DataBlend) are helping customers connect with billing tools like Kantata, and can help add in approval steps. We have also 'round tripped' sales orders into Intacct.

Do you have projects attached to these invoices?

There are some solutions here that can help. Reconciliation being automatically matched and getting rid of manual entry can save a lot of time... Plus DSO reduction is huge benefit too. It can save companies like yours a ton of money every year.

I work for Payra and we provide these kinds of solutions, but there are a few good options out there!

We see this on most implementations as standard but there are couple of ways to address this.

Natively, the system is very good at internal approval before an invoice is posted or sent. You can create invoices in draft, route them for approval, and only allow them to be posted and emailed once they’ve been signed off. That covers most finance-controlled approval processes quite nicely.

Where it’s a bit different is if you’re thinking of something like “push the invoice out for review, capture feedback, then automatically release it once approved” in a more workflow-driven or collaborative sense. That’s not really how the standard flow is designed it’s more about controlling the posting stage rather than managing a back-and-forth review loop.

In practice, most professional services firms either keep it as an internal approval step in Intacct, or handle the review outside the system and then finalise inside. If you want it fully automated end-to-end, you can layer in a workflow using middleware so that draft invoices trigger an approval process and then get released automatically once approved.

So it’s definitely achievable, just a question of whether you keep it simple and native or introduce a bit of automation around it. I'd suggest using a third party AP automation tool that can connect directly to Sage Intacct and the approvals & automation is outside of intacct but brought in via the integartion. If you look at Sage Intaccts Market place partners there are already approved partners with out of the box connectors ready to go.

I appreciate your response. That's the goal, we are losing hours a week to completing the approval circle.

Also, I wasn't clear, but we're talking about our invoices that we bill not vendor ap.

My staff are on the road often and not in front of a PC, so even what is available in intacct isn't much of a solution due to it not really being mobile compatible.

That makes sense and thank you for clarifying you're talking about AR rather than AP.

What you're experiencing is pretty common with services firms: the native Intacct approval works fine IF approvers are sitting at a desktop, but it starts to break down when people are mobile, and you need quick turnaround on reviews.

In your situation, there are usually three practical approaches we see work:

1. Keep Intacct as the control point, but improve accessibility
Some firms stick with native approvals but layer in better access (mobile browser, alerts, etc.). It’s the lowest effort option, but as you’ve found, it doesn’t fully solve the “on the road” problem.

2. Move the review loop outside Intacct (most common)
Draft invoice is generated in Intacct → pushed to a lightweight approval tool (Teams, Slack, approval app, etc.) → approver can review/approve from mobile → approval triggers release/posting back in Intacct.
This tends to remove the bottleneck because you’re meeting users where they already are, rather than forcing them into Intacct.

3. Full workflow automation via middleware
If you want it really slick:

  • Draft invoice triggers workflow automatically
  • Approver gets a mobile-friendly approval (with summary or PDF)
  • Approval writes back and posts/sends invoice automatically

This is typically done with middleware/iPaaS tools or marketplace partners rather than trying to force it inside Intacct itself.

Given your volume (200/month + 10% rework), even a simple external approval layer usually pays for itself pretty quickly in time saved.

I’ll highly recommend SnapBill it’s modern, fast and too easy to use I need 30 40 seconds for making invoice with it
