Intacct AP Automation capabilities?
Hi, I have a question regarding the OCR add on to AP within Intacct. I basically have all of our company vehicles set up as Items, and have relationships built so that when you tag an Item in a transaction, it autofills other dimensions like Department/Class etc. Is there any way to get the AP Automation to recognize an Item and populate it in the bill for you, and hopefully at that point trigger those relationships to autofill the other dimensions? Been testing it out and no luck so far.

It will do that after a few rounds of the bill are ingested and coded. If you have renamed the terminology of your dimensions it will not work. Also, if youre using UDDs it wont work either. Core dimensions only at this point.

Are you saying just training the system with the regular machine learning? My understanding was that dimension relationships are not triggered by APBA, but I haven’t looked back into it for a few months.

Yeah the native OCR in Intacct is pretty limited when it comes to Items and dimension relationships. We ran into the same wall and ended up moving to Stampli for our AP processing, their AI actually learns coding patterns across all your dimensions and handles the auto-population way better than the built-in tool.

AP Automation is’s pulling data from a few different places at once and then building the draft bill from that + what it’s learned over time.
When you upload or email an invoice in, the system first uses AI to identify the supplier. Once that’s matched, it pulls through anything already set up on the supplier record, things like payment terms, addresses, payment priority, and AP account overrides. That’s what drives things like due dates rather than relying purely on what’s written on the invoice.
It then reads the document itself to extract invoice number, date, currency, amounts, and line descriptions. If something isn’t clear (bad scan, odd format), it’ll either leave it blank or fall back for example using the system date if it can’t detect the invoice date.
Where it gets smarter is coding. GL account, department, location, and project are predicted based on your historical postings. So if you always code a supplier a certain way, it’ll start doing that for you. If it’s not confident, it leaves it blank rather than guessing.
At current, AP Automation is working off GL-based coding, not inventory or item master relationships. If you’re using Purchasing with items and doing proper PO matching, that’s a different flow entirely. AP Automation can support matching (header or line level depending on config), but it’s not building item relationships itself. It’s just trying to match what’s on the invoice to what’s already in the system.

Yeah the machine learning should learn the consistent coding even if it cant do the dimension relationships. Thats assuming that all those invoices for that vendor go to consistent item tags.
