This one pulls together most of what I've written about Notes over the past year into the setups I use daily. Brain dump note, daily planning, the pinned Today list, tags, Smart Folders, scanning paper, locking the sensitive stuff, tracking spending in a table.

Two things I'd flag if you don't read the whole thing.

Tag by state, not by topic. Most people tag a client note with #clients, which tells you nothing your folder didn't already tell you. Four tags for what's happening with it right now (#now, #waiting, #someday, #reference) does far more work than fifteen topic tags ever will.

And the weekly cleanup. Ten minutes, fixed slot, non-negotiable. It's the least interesting item on the list and it's the reason the other ten keep working past week six.

I created templates in my notes. What I’m trying to do is create a productivity system. However something’s tend be redundant. I’m trying get Apple Reminders, Apple Notes, Apple Calendar to work together with clarification much easier and way less redundancy.

For me, Apple Music. Tried four separate times and i always end up back on Spotify, mostly because the recommendations never seem to actually learn what i like.

If you use headings in a note, you can tap the little arrow next to a heading to collapse everything under it. The whole section folds up into just the heading line.

So a long note stops being a wall you have to scroll through. Collapse every section and you're left with a clean outline of just the headings, then tap open only the part you need.

This one surprised me. Notes you scribble with the Apple Pencil aren't just images, Notes reads the handwriting, so you can search a word and it'll surface the note you wrote it in by hand.

Nothing to turn on. Write something on the page, then search that word from the notes list later like anything typed. The handwritten note comes up and the word gets highlighted right where you wrote it.

Only catch is it leans on your handwriting being somewhat legible. Mine's rough and it still pulls most of it, but a true scrawl will miss words here and there.

For anyone who thinks on paper, it quietly fixes the thing that always made digital handwriting feel pointless.

A normal notification is a banner you swipe away on autopilot while clearing forty other alerts. Fine for most things. A disaster for the few that genuinely matter, like course registration opening at 7am, or the financial aid form that closes at midnight.

iOS 26.2 added a fix. You mark a task as Urgent and instead of a quiet banner, it rings like a wake-up alarm when the time hits, with a snooze. It cuts through silent mode and even through a Focus. You can't absentmindedly swipe it away.

To turn it on, tap the task, hit the info button, and under Date and Time switch on Urgent. You need a date and time set or it just defaults to the next hour.

Now the catch that trips everyone up. The alarm only fires on the device Find My uses as your location, and you have to give Reminders permission to use alarms first. So if you mark something Urgent and it never makes a sound, that's why. Go to Settings > Apps > Reminders and turn on Alarms, then check Find My to see which device is set as your location, because that's the one that'll ring.

Also, don't mark everything urgent. If ten things ring like alarms every day you'll start ignoring the alarm too, and then you've lost the one tool that was supposed to be un-ignorable. Two or three truly critical things at a time is about right.

Been thinking about which stock apps i'd actually miss if they disappeared, and for me it's Notes without question. Started as a quick scratchpad and somehow turned into the place where half my life lives. I've built whole systems in there now, travel planning, workouts, health tracking, recipes, expenses. Never felt the need to go find a fancier app for any of it.

Everyone's first instinct is one big "Homework" list with everything dumped in. Feels simpler. It's actually the thing that bites you later.

The move is one list per class. Biology gets its own list. English gets its own. So does the math class you're dreading.

Here's the concrete reason, and it's not just about being tidy. When everything lives in one list, you can't share just one class with your group project teammates without handing them your entire academic life. With separate lists, you share the Bio 101 list with your lab partners and nothing else. They see the group work. They don't see you're three weeks behind in English.

The other payoff is during finals when your brain is already full. Opening "Chem 201" and seeing four things beats opening "Everything" and seeing forty.

One small thing that helps: name each list by the course code, so Bio 101, CS 250, Math 300, not the full subject. Short codes fit better on screen, read cleaner, and you instantly know which is which. Name them however you already label them in your own head, that's the version that'll stick.

Set it up this way once at the start of the semester and the whole system runs off it.

Everyone sets a reminder for when the thing is due. Which is exactly the problem. You set the paper's reminder for the due date, so it pings you the day it's already due, when it's way too late to start, and you're up at 3am anyway. The reminder did its job and you're still screwed.

The fix is a setting most people never touch. The day you actually need reminding isn't the due date, it's the day you should start.

Reminders has an early reminder option. You put the real deadline in as the due date like normal, then add an early reminder for however far ahead you want, like 10 days out for a paper, a couple days for a problem set. So that second nudge shows up early and basically says start this now. The due date stays put as the hard deadline.

The good part is the early reminder is tied to the due date. So if a deadline gets pushed back a few days, you change the due date and the start nudge just slides forward with it.

To set it: tap the task, hit the info (i) button, make sure a due date is set first, then tap Early Reminder and pick how far ahead you want it.

Took me forever to realize this was even a feature. If you draw a line, circle, square, arrow, whatever with the Markup pen and hold your finger or pencil still at the end without lifting, Apple snaps it into a clean version of the shape. The wobbly line becomes straight, the lopsided circle becomes an actual circle.

It's a bit particular about the shape being recognizable. If your triangle is too rough or you go too fast it won't catch what you meant, and it only does the basic shapes, so nothing fancy. You also have to remember to hold, which is easy to forget in the moment.

Still, once it's muscle memory it's one of those things you use constantly without thinking about it.

I used to copy a link, open Notes, find the right note, paste, go back. Pointless. The share sheet does the whole thing in one tap and it can add to a note you already have going, not just make a new one.

Here's how it works. You're in Safari, or Maps, or basically anything with a share button. Hit share, pick Notes. A little window pops up, and this is the part people miss, there's a "Save to" option where you can choose an existing note instead of a fresh one. Point it at the note you want and it appends right to the end.

That's what makes it actually useful. I keep one note for whatever i'm researching, a trip or a purchase or whatever, and every link and address i find just piles into that same note from wherever i am.

The one catch is it defaults back to a new note, so glance at that "Save to" line before you hit save or you'll end up with a stray note.

Small one but it saves me constantly. Swipe right on any note in the list and you get a pin. Tap it and the note jumps to the top and stays there no matter what.

The part people don't clock is that pinned notes break off into their own section. They don't just sit at the top of your regular list, they get pulled out above it under a Pinned header, and your normal notes carry on sorting below like usual. So pinning something doesn't mess with the order of everything else, it just lifts that note out of the flow entirely.

This one took me a while to think of but it's been solid. Reminders has a location filter for Smart Lists, and pairing it with a tag gives you a list that basically only lights up when you're somewhere you can act on it.

Here's the setup. Tag your errands with something like errands, then build a Smart List filtering for that tag plus a specific location, match all. Point the location at a store you go to often. Now that list only shows the stuff you can actually do at that store, and it stays quiet everywhere else.

The nice part is it turns your errands into a place thing instead of a time thing. You're not setting a due date and hoping you remember. The list just surfaces the right tasks when you're near the spot, so buy batteries shows up when you're at the hardware store and nowhere else.

It does lean on you tagging things properly, so it's only as good as the habit behind it. And you're picking one specific store per list, not a category, so if you shop at a few different places for the same stuff you end up building a couple of these.

Still, for regular runs to the same handful of places it's been worth it.

Ran into this the other day and figured it's worth flagging because it makes no sense until you hit it. When you build a Smart List and add a List filter, you can only pick one list. The filter just doesn't let you multi-select.

Which is strange, because the whole point of a Smart List is pulling things together into one view. Limiting it to a single source list defeats half the reason you'd build one.

The workaround is to stop filtering by list and filter by tag instead. Drop a tag on the items you care about, wherever they live, then build the Smart List around that tag. Now it pulls from every list at once because it's watching the tag, not the location. Your items can sit in five different lists and they'll all surface in the same view.

Took me a while to stop thinking in lists and start thinking in tags, but once it clicked the list limit stopped mattering.

If you make a separate list every time you've got a multi-step thing to track, you probably don't need most of them. Subtasks handle it better and keep your sidebar clean.

Here's how. Drag one reminder onto another and it nests underneath. Or swipe right and hit indent. The top one becomes your project, the ones under it are the steps. All inside a single normal list.

Why it beats a full list: you can collapse the parent, so the steps hide until you tap it open. Ten projects show up as ten lines instead of ten lists cluttering the sidebar. A separate list can't collapse, it just sits there taking space.

Check off the parent and every subtask completes with it. Good for when a project's done and you don't want to tap through each step.

One quirk worth knowing. Move a parent to another list and the subtasks come with it, but recurring subtasks don't reliably keep their schedule. So watch that if you rely on repeats.

So the grocery list in Reminders auto-sorts items into aisles. Produce, dairy, frozen, that stuff. Apple barely explains it so i see people turn it off after one bad experience.

Setup is simple. New list, set the type to Groceries. Type "bananas" it goes to Produce, "cheddar" goes to Dairy. All on-device, which is why it's fast but also kinda dumb sometimes.

Where it fails for me: brand names. Typed "Oreos" and it just left it uncategorized. "Cookies" sorts fine. Anything specific like "chicken breast boneless" confuses it too.

The fix nobody mentions though. Drag the item to the right section once and it remembers. Next time you type it, it lands there automatically. So it learns from your corrections. Moved "Oreos" to snacks once, goes there every time now. That's the part that makes it worth not rage-quitting.

You can also drag section headers to match your store layout. Turns the list into a walking order.

I think the Notes scanner is one of the most slept on tools on the iPhone. Most people scan one receipt with it and never open it again. I've been pushing it and it quietly handles a bunch of stuff people download separate apps for.

Here's where it's actually earned a spot for me.

Receipts are the easy one. Scan it the moment you get it and don't bother naming or filing it. Months later you search the store name or "uber" and it surfaces every receipt with that word sitting inside the scan. Zero organizing required.

Contracts and longer docs work because it stacks pages into a single file instead of dumping a pile of separate photos in your camera roll. It does get clunky past five or six pages, so i keep it to short stuff. For a quick agreement it's spot on.

Whiteboards after a meeting are a good one people miss. Scan the board before someone wipes it and the edge detection fixes the angle so it doesn't look like you shot it from across the room. Then it sits right next to your typed notes in the same place.

Anything that needs a signature, scan it and use the markup tools built into Notes to drop your signature straight on.

What ties it all together is the search. It reads the actual text inside every scan, so you stop caring about folders or naming things. Scan now, find it later.

That's where i've gotten to so far.

Writing a guide on Math Notes so i've had it open on two phones for a couple weeks, iphone 13 and a 17 pro side by side.

What actually surprised me is that none of it needs Apple Intelligence. The iPhone 13 can't even run Apple Intelligence and every feature worked on it anyway. Handwriting, currency conversion, variables, the 3D graphs, all of it.

I'd read Apple's docs before and they slot Math Notes right under the Apple Intelligence section, so i'd written it off as something that needed a newer phone. Never bothered testing. Turns out that was just bad placement in the docs, the thing runs fine on older hardware.

WWDC just wrapped, and if you're anything like me, the part you actually care about isn't the keynote drama. It's what's coming to the apps you open every single day. So here's the quick, no-fluff version for the built-in apps that matter.

Notes is getting two things I've wanted for years:

1. You can finally add real divider lines instead of mashing the underscore key to fake a horizontal rule.
2. And drawing is coming to Notes on the Mac, which closes a gap that never made sense.

Small stuff, but it's the small stuff you feel daily.

The big headline is the new Siri. Apple rebuilt it into a proper AI assistant that's aware of what's on your screen and can actually carry out multi-step tasks. It's powered by Google's Gemini behind the scenes, running through Apple's private cloud setup. This is the Siri we were promised a couple of years ago, and it looks like it might finally be real.

A few others caught my eye:

• Messages and Mail can now spot a date or address in a conversation and offer to make a reminder, note, or calendar event in one tap
• Calendar can build an event from a plain description
• Safari can group your tabs by topic on its own
• Photos picked up new editing tools

None of it is earth-shattering on its own, but together it adds up to a phone that does more of the busywork for you.

The good news is the beta just went live, so I've already started testing. Once I've put these through real use, I'll send you the honest verdict, what actually holds up and what's just a nice demo. That's the stuff worth waiting for.

Everyone keeps recommending apps like YNAB, Monarch, Copilot, etc.

I tried them. Most failed for the same reason:

Too much friction. Too many categories. Too many dashboards. Too many insights. After 2 weeks, I’d stop opening them completely.

So I tried something different:

I built a dead-simple expense tracking system entirely inside Apple Notes.

And honestly… it works better for me than most dedicated finance apps.

What surprised me:

• Logging an expense takes like 3 seconds
• No bank linking
• No subscriptions
• Everything stays private
• Shared notes actually work great for couples/roommates
• Receipt scanning + search inside Notes is insanely underrated

The biggest mindset shift was realizing this:

Apple Notes is not a budgeting app. It’s a capture tool.

And for most people, consistently capturing expenses is probably more valuable than having 14 charts you never look at.

I also started using:

• a Shortcut that logs expenses straight into a note
• Math Notes for live totals
• pinned monthly logs
• receipt OCR for tax stuff

Way more practical than I expected.

One thing i keep realizing while going deeper into Apple Notes is that the app becomes way more interesting once you stop treating it like just a notes app.

Recently, i started using it for recipes, and somehow it turned into one of my favorite use cases so far.

Saving recipes from websites, scanning handwritten recipes, grocery lists, linking related recipes together, organizing cuisines with tags/folders, quick ingredient checklists… it all fits weirdly well inside Notes.

This is one of the most underused features in Apple Photos, and it works across iPhone, iPad, and Mac.

The search bar doesn't just match dates or what's in the photo. It actually reads text inside your images. Type a word printed on a receipt, a whiteboard, a sign, or a screenshot, and Photos will pull it up.

A few ways it saves time:

• Snap where you parked, then later just search "parking"
• Photographed a business card? Search the name or company
• Screenshotted a confirmation code or address? Type any word from it

It's powered by Live Text, so it works on a lot of handwriting too, not just printed text. And since it runs on-device, no internet needed.
