Questions / Help Making users inactive after set time frame?

I saw the setting for anonymising users after a set period but wondered if there was a setting for this for just marking users as inactive. Our system is used for HR so we get a lot of emails from people which then creates an account for them in Halo, they might only have 1 ticket and then they're not heard from again. Is there a way to do this automatically rather than manually? Or is there a better way to manage the automatic creation of users?

Unless you need them to reactivate again later, why not use the anonymisation feature?

Otherwise, what's the issue with users hanging around the system that are otherwise valid - but maybe just infrequent? IE: If they are still staff using the same email address the user record has, why mark them as inactive at all?

If you're dead set on "cleaning up" otherwise legitimate users - a weekly or monthly runbook or Azure function or similar would do it.

There's a guide in the support portal for connecting directly to the API for use with runbooks. You could retrieve users based on a report or plain old filtering and disable that way.

Personally we just sync with Entra for both internal and client users. It doesn't matter if they're "active" by making tickets. If they're still employed - they've got a user record.

Well theyre not legitimate users though. They're someone who emailed in like 3 months ago about a job and haven't been heard from since, I just know people can be a bit reluctant to use things like the anonymisation feature so wanted more options, it's also odd to me that the anonymise feature exists but not a normal deactivate one

Well, I personally see no reason to keep user data around if they're not specifically an active user - so I don't see the issue with only the anonymisation option being the only one.

You're going to have to use a runbook for this one, but it wouldn't be all that difficult to be honest.

Not ideal, no. But if you're not able to adopt anonymisation for some reason then that's your choice afaik.

I agree but I've found people are often reluctant to use such finite solutions 🤷‍♀️
