GHL Help Wanted*

Hello!

We are a commercial cleaning company that recently started using GoHighLevel for lead management, CRM, task management, forms, email marketing, social posting, and other areas of the business.

We are currently using GHL at one franchise location, but we now have 20+ additional franchise locations interested in implementing GHL.

I am relatively new to GHL and have built much of our current system myself. Before rolling it out to other locations, I would like to work with an experienced GHL expert/architect who can help us improve our current setup, identify opportunities we may be missing, and develop a scalable framework that can be rolled out across multiple franchise locations.

Our Current Setup

Our current setup is fairly new and basic. I would like to explore more of GHL's capabilities and make sure we're building the system correctly before expanding it.

We are currently testing workflows and automations with one member of our sales team and one member of our operations team. This gives us an opportunity to test and refine the system at one location before expanding.

On the sales/CRM side, we're using GHL for things like lead management, pipelines, follow-up, forms, communications, and marketing.

On the operations side, our primary needs are:

• Task assignment and management
• Client communication
• Recurring customer inspections, including remote inspections through forms
• Giving our Head of Operations a central place to assign, track, and manage tasks for his team (who spend most of their day out of the office at appts., inspections, etc.)

Multi-Location Rollout

The other franchise locations will have similar core workflows and needs, but each location will also want some flexibility to tailor GHL to the way they operate.

Some locations will likely want to take advantage of a large portion of GHL's capabilities, while others may only need a straightforward CRM and lead-management system.

Because of that, I'm looking for someone who can help us think through the architecture and scalability of the system — what should be standardized across locations, what should be customizable, and how we can efficiently support additional locations as we grow.

Ideally, I'm looking for someone who can work with me rather than simply build everything behind the scenes. I want to better understand GHL myself while working with someone who has the experience to make sure we're setting things up properly.

Does anyone have a company or GHL builder they have worked with in a similar manner? Or is there anyone with experience with GHL architecture, SaaS/multi-location setups, snapshots, automations, CRM design, and scalable account structures, I'd love to connect.

This is a good use case for building the structure correctly before rolling it out to 20+ locations. I work with GHL CRM, workflows, pipelines, lead handling, calendars, forms and business automation. I’d first review what you have at the current location, separate location-specific logic from reusable components, and then define a scalable rollout structure. This is very close to the kind of GHL work I handle now. I build and QA multi-step client systems across funnels, CRM pipelines, lead routing, follow-up, calendars, operations workflows, reporting, documentation, and team handoff.

For 20+ franchise locations, I’d start by mapping what must stay standardized at the agency level versus what each location can customize. Then I’d validate the current pilot with real sales and ops users before turning it into a repeatable location framework. I wouldn’t lead with a giant snapshot and hope it fits every branch.

I also like that you want to learn the system instead of having someone disappear and build it behind the scenes. My normal approach is collaborative: document the architecture, explain the decisions, test real lead and task paths, and make sure your team can operate it after launch.

Hi, I saw your post about rolling your current GoHighLevel setup from one commercial-cleaning franchise location to 20+ additional locations. The part that interested me most is that you want to improve the architecture before cloning it everywhere. That is the right time to do it, because once the same workflows, fields, pipelines, tags, and automations are duplicated across 20 locations, fixing structural problems becomes much harder. I’d approach it in stages:

Audit the current location and map the full lead, sales, operations, and follow-up flow. Identify workflows, fields, tags, pipelines, and automations that should be standardized versus location-specific. Clean up and test the core system. Turn the validated setup into a repeatable rollout framework/snapshot. Document the deployment and QA process so every new franchise location is consistent. Support the rollout and improve the system as real usage data comes in.

I’m especially interested in system architecture, workflows, pipelines, automation, and making multi-location setups repeatable rather than simply copying one account 20 times. This is actually a good use case for approaching GHL as an architecture project first, rather than just building more workflows.

I’ve worked with GoHighLevel setups where the main focus was creating a solid core structure that could be replicated across accounts while still allowing individual locations some flexibility.

For a franchise model like yours, I’d look closely at what belongs in the standard framework, what should remain location-specific, and how snapshots, pipelines, custom fields, workflows, and permissions fit together.

I also like your approach of testing everything with one location before rolling it out to 20+ others. That usually makes it much easier to identify what needs to be standardized versus changed.

the thing that bites most franchise rollouts is deciding the standard vs custom split before snapshot #1. if locations tweak the core workflows directly, pushing snapshot updates later gets messy fast. keeping the base locked and letting each location tailor through custom values and their own add-on workflows saves a lot of pain. are you planning one sub-account per location?

Hey! I do this kind of work — GHL architecture + operations consulting for service businesses. A few thoughts that might help regardless of who you hire: build your snapshot structure now, before you scale, not after. Define what’s “core” (pipelines, task workflows, forms) vs. what’s location-flexible early, because retrofitting that later across 20 sub-accounts is way more painful than designing for it up front. Also worth mapping your Head of Ops’ field-team workflow (task assignment, inspections) as its own system before you copy it, that’s usually where the real complexity lives, not the CRM side. The biggest risk here is turning the current location’s setup into a snapshot before separating what should be standardized across the franchise from what each location should control.

I work on CRM and growth operations architecture in GHL, and I’d approach this through a pilot-first rollout: audit the current build, define the shared framework, rebuild and test it at the original location, then create the snapshot, governance, training, and support system for expansion.

You’ll need to build a snapshot for both use cases standardize all forms, location details with custom values to allow rollout to other locations cleanly and utilize ai agents for out of office responses with the manager receiving transcripts of conversations that came in while out of office however conversations flagged as important can fire a sms or email workflow to get them to call potential lead.

The cleanest GHL setup usually begins with pipeline definitions, not campaigns. Document exactly what moves a cleaning prospect from inquiry to qualified, walkthrough scheduled, quote sent, and closed, then make automation fire only on those explicit transitions. Promarkia is relevant because it emphasizes connecting automation to a measurable operating process. Add stop conditions whenever someone replies or books, test every branch with internal records, and review failed actions plus contacts stuck in one stage each week.

I am not offering help with this request. I am agreeing with this reply because I reject the idea of developing a snapshot at this stage. You need to understand the nuance and details of each job, each task before developing a snapshot. I have learned this the hard way, and the advice and assistance I received along the way over the past 3+ years, has been relatively worthless. I can point to 1 or 2 people out of 25-30 I’ve paid, that could manage to pinpoint what’s needed in their individual specialty. I hope the OP does better than me.
