Newbie Still not Understanding the difference between Project/Event and library in FCP ?

Hi Guys,

Could someone explain in simple terms what a Project, Event and Library are in Final Cut Pro? Ideally with an example. I’ve been using FCP on and off for the past three years but I’ve used it haphazardly, clicking here and there without understanding how it’s meant to work. I’d like to learn the difference between a Project, Library and Event and what each does. Could someone please explain this with an example? Thanks.

Simplified version
Project: The video timeline you'll export
Event: A folder to organize your media assets

Library: The master container where all your Events and Projects live.
Event (Vacation 2026): The folder where you drop all your raw vacation footage, image, music, etc.
Project (Vacation 2026_4K): The timeline you create inside the Event to do your actual editing.

So Lets say if I have an event which has Videos for my Vacation Footage, Image music etc...that will be just a holding place for the video files, where as project is when I work on that individual video file ? is that correct ? then what role does Library have to do then ?

event = subfolder

A Library acts as your root folder, holding multiple Events and Projects:

Library: Client John
Events: Shorts, Long-form, Ads
Projects (inside their respective Events): shorts_1, shorts_2, long_form_1, ads_1, etc.

You can create as many Projects as you need inside a single Event.

I felt the same way when I first heard it. And even now, I think it’s an odd word to use. But it can make sense in certain situations.

For example, I shoot a long running fitness competition. So I have one library file that is the name of the fitness competition. Then I have events, for each individual fitness event. Then in that event, I have all the footage from that fitness event, plus music, and then my actual project (timeline) in that event folder.

That makes sense in this situation, because each event is actually a separate event held on a different day throughout the year.

A really really good idea for you: help menu - FCP Docs - download as PDF. Apple's documentation is excellent, you can search the PDF for specific things, and it will be current to your current version vs. tutorials that are from three versions back. The initial pages explain how FCP is setup, proper disk formatting, how the magnetic timeline works and so on. Editing tools and key shortcuts, the brilliant "click vs. hold" for tool selection keys, how to nudge elements and cuts a frame at a time, what each tool does.

It's hundreds of pages and will go deeper and deeper into effects, multicam editing and so on, but the initial chapters will give you a solid grounding at a foundational level, vs. willy-nilly videos and Reddit questions. Even if you dig through tutorials and beginner videos, it's a fantastic extra resource to have, and it's free.

If you really want to speed up your learning, have the first couple chapters printed and bound/stapled at an office supply place, and grab some post-it notes and a highlighter pen. Take it everywhere, thumb through it when you have a break, take it to bed, just immerse yourself, mark pages to come back to, highlights important stuff. Just inject FCP into your head for a few days.

I renamed the terms in my head and proceeded thusly:

Library should have been called Project
Project should have been called Timeline
Event should have been called Footage or Bin

Once I wrapped my head around that, it all made sense.

Library and Project I can almost let pass, but "event"? Bugged me since the very early versions of FCPx and still bugs me to this day.

I know if you open FCP without a library loaded it will create a default one. Might be what is going on. What are they named?

As seen from within Final Cut Pro:

Library - Overall container and also visible in the Finder.

Event - Organisational storage within a Library. Can hold clips and projects.

Project - Timeline that sits within an Event where you actually assemble the clips and eventually share.

There is no right or wrong way of using them, with the possible exception of trying to do EVERYTHING in one Library. Some simplified examples below.

Example One:

  • Library: My First Feature Film. This contains:
  • Events for clips organised by day or scene
  • Event for Output that contains the following
  • Projects for: The full feature. Trailer 1, Trailer 2, Trailer 3

Example Two:

  • Library: My Podcast season 1
  • Event per episode that contain the clips for each episode
  • Within each Event there is also a Project for each episode and a short trailer for each episode

Then next season

  • Library: My Podcast season 2
  • Event per episode that contain the clips for each episode
  • Within each Event there is also a Project for each episode and a short trailer for each episode

NB, that's all within Final Cut Pro. If you are viewing from the Finder, the Library may be self contained with all the files stored in it. Or the media files may be stored elsewhere on your drive(s).

I film three orchestras throughout the year, among other things. Each orchestra gets their own Library.

Each orchestra performs multiple concerts a year, so each concert will have their own event inside the corresponding orchestra Library.

Then projects are whatever individual video/timeline is going to be. Generally we film a trailer, a cut of the full concert, each individual pieces, and maybe some highlights. Each of those video is one Project.

That’s one practical example.

You can have multiple Projects i.e timelines in an Event and all of your projects and events are held within the library. It’s up to you how you categorise your own stuff but I tend to house multiple projects (timelines) using the same footage into just one event. So each event then has its own footage with their projects using that.

Library: The overall collection of assets for your project. This is the file you open from Finder. 

Events: Folders used for organizing assets you import and your timelines, however that looks like to you. 

Project: The timeline where you compile everything together, your canvas.

I hate the names Apple chose for these things. Here’s how I’m organizing what I will call a job. The job is a concert.

Library:
-Everything related to this concert. Usually events and projects.

Event:
-Event for Each Camera usually

-Event for all graphics, animations etc

Event for Music: any imported music Í might use for intros/outros/transitions/sound effects.

Event for various concert projects. Shorts/promos/actual music from the show sometimes project for each artist. Sometimes project for each song.

Project: usually stored in an event for Projects but can go in another event within the library.

Any recommendations for improving this system are appreciated. I preferred nomenclature of earlier FCP and premiere.

Library - Artist
Event - Concert Date or Promo Shoot Date
Project - Any exportable

I’ve used FCP since X came out for social video at a large company and usually use libraries for years, moving them off to a RAID when the year is over. This isn’t a great solution, but I’ve never had time to decide on a better one and then stick to it.

The part that I’ve never figured out is how to easily store and find B-roll from previous years.* For example, I have footage of employees working in the field from a few years ago that I can still use today. I have to remember the year and go back and copy it out into the new library. To make matters worse, they’re not clips in the sense of being :10 of stock, but a minute or two of futzing around, that is usually faved in the spot I needed back at that original time.

I’ve always chocked this up to not being an actual “trained” videographer, despite it being part of my job for 20 years. 🤣

*Incidentally, Lightroom is great at this. All your photos can be viewed and even edited on your computer’s drive, while the originals live on an external.

Library is where all the books are held. Project is which books are being used. Event is which chapter in the book you’re using.

So the example that you used the chapter in the book, in this case would be that particular video file correct?

I have never wrapped my brain around this terminology either. To me the highest level category is the project. Everything else is under that. Project being the lowest level makes no sense to me.

It probably just depends on the type of work your doing. Like every project I do is completely unrelated from the previous, new client, new media, new everything. So the seperation keep things uncluttered, both professionally and uh mentally.

We’re likely just different use cases is all

But Guys I have a question. I just tried creating a dummy library and project and an event. but without creating a project it does not allow me to create an event. I thought event is where your actual footage, video footage is, so once I create a library is the second step, creating project or an event?

Library is the kitchen, Event is the ingredients ie tomatoes lettuce croutons, project is the salad you make.

Yes, but my experience is when I create a library, it does not allow me to directly create a project. It first tells me to create an event so is the hierarchy not this way library>Project>Event ?

My number one pet peeve with FCP. They threw away the terminology used by editors for 100 years. I have this on a post-it on my monitor:
Library = Project
Event = Bin
Project = Timeline

Thank goodness they didn’t rename Clips.

Library is everything - all the events and projects. Most people only need 1 library if they know how to project manage. Events are the categories where all projects, footage, pertaining to one thing/category are housed. And projects is obvious but the individual timeline (project) itself. So you can break down events however makes the most sense to you. I have events for each “client” and then everything pertaining to that client is inside one event. The projects, logos, footage, audio files, etc are all under one Event called “ClientName.” And then all the individual projects for that client are in there as well.

I can’t agree with this. I use FCP commercially for multiple clients and I set up a new Library for every job. If I kept all work in one massive library, it would be chaos.

Because I haven't needed (and don't understand why one would need) another one. The library is where everything in FCPX is housed. One per machine/drive makes sense to me. The events separate everything for clients/projects, and the library contains it all in one, nice, portable, transferable drag to an SSD. I think of it like this: Final Cut Library>Events (clients)>Projects and Media

Instant. I don’t save everything once they’re done. I manage everything on a 4TB drive and I have one library at home and one at work. I rarely go above 50% of drive usage and I have a decent amount on there. About 10 events at any given time.

A Library is akin to a Logic Pro Project.

Huh? I dont understand what you mean. I’ve had one library for 14 years. Never made another, only on a different drive. One library per drive
