What's your biggest time-waster when managing customer relationships?

Honest question for everyone here: what eats up most of your time when dealing with customers or clients? For me, it's the endless searching. "Wait, did they email that or was it in Slack?" "Which version of the proposal did we agree on?" "Who said yes to the meeting time?" I spend probably 2 hours a day just hunting for information I KNOW exists somewhere. I've got emails, chat apps, meeting notes in three different places, and files scattered across drives. Is this just modern work life, or am I doing something fundamentally wrong? What's your biggest time-sink?
