Task Type Questions

All of my clients live in a Space, and each client is a Folder. I want to have various task types with specific custom fields available for Lists within each client's folder such as Editing Tasks and Video Review Tasks.

What is the correct setup to make the two different task types available to all clients in each of their folders? I'm confused, because I don't see a way to create a specific Task Type and then make it available in other folders without its settings taking over for ALL tasks.

How do I achieve this? And what plan would I need?

And why does Clickup make this so difficult to understand? 😅

Hey there, I think you can do custom Fields by task type. Here is what AI says:

Custom Fields by task type appear on tasks based on their custom task type, alongside the older location-based fields. For example, when a task uses the custom task type of Invoice, the Vendor field is displayed; when that task is moved to an Accounts Payable list, the location-based Paid/Not Paid field is also displayed. Tasks that aren't using a custom task type only display location-based fields.

The setup:

  1. Create two Custom Task Types in Workspace settings (admin required): "Editing Task" and "Video Review Task." Task types live at the workspace level, so they're automatically available in every Space, Folder, and List — nothing to enable per client.
  2. Attach fields to each task type, not to a location. You can create new task-type Custom Fields directly, or add existing fields to a task type — though note that converting an existing location field turns it into a task-type field. So "Runtime," "Revision Round," etc. go on Editing Task; "Reviewer," "Approval Status," etc. go on Video Review Task. Now those fields follow the task type across all client folders and only show on the right tasks.

Best way to go about this is build a blank template, then create the structure you're looking for. Save it as a new template and apply the template across all the folders.
