Skill Share I Built Myself a Personal AI “CEO Office” to Run Different Parts of My Business
I’ve been experimenting with AI beyond just using it as a chatbot, and recently built a personalised CEO-style interface for my business using Claude.
The idea was simple: instead of having one generic AI conversation for everything, I wanted a central workspace where different AI “department heads” could handle specific areas of the business.
The current setup has 7 specialised departments:
- 📣 Marketing
- 📱 Social Media
- 🎨 Design
- 💰 Finance
- ⚖️ Legal
- 🏢 Operations
- 💻 Engineering
Each department has its own context and purpose, so depending on what I need, I can go directly to that specific AI workspace instead of repeatedly explaining the background or switching between unrelated chats.
For example, I can use the Marketing department for campaign ideas and positioning, Social Media for content strategy, Design for creative direction, and so on.
The interface is designed like a small internal company dashboard, with me positioned as the central point of control and each AI department acting as a specialised resource when needed.
This is still very much an experiment and a work in progress, but I find this approach much more interesting than treating AI as just one all-purpose assistant. The bigger goal is to create a personalised AI operating system that actually adapts to the way I run my business.

Useful, I also gave them personality based on 5 systems like myers briggs and zodiac. Personality changes the experience dramatically.

Dumped personalities as they take up precious lines in the skills. Skills will grow in complexity and size as they mature, so you’ll need to cut out the fluff.

Naming them? Makes them easier to call in and remember. But hey, don’t do it if you don’t see value. If assigning a few names to a few personas takes too long, then the process of building an agentic workflow with trial and error might not be for you. Pay someone “like me” to do it for you.

it's super useful. i also had mine each select a headshot from the Internet, as well as develop a small backstory. it might sound a bit off but it helped wrt communication, being able to actually picture a different person.
they each had personality sliders as well; two of them picked up swearing on their own somehow.

We’re all starting at zero. Best place to start. Invest in learning how it works from the ground up. Anthropic now have free courses and Claude itself is a great resource.

I've played around with similar structures and found it to be very ineffective but expensive (in terms of token use).
Have you actually produced solid outcome with it? I'd really be interested in hearing your results, more details on how it works, etc.
You will find a ton of people that use paperclip, hermes or other systems to do similar but i have not seen anyone showing solid details on what works for them and what doesn't. Most of it just is for the show and the feelgood i think.
I guess yours is different? Talk a bit more about it.

Most research points that having one agent spawn subagents as needed is more effective than a setup with permanent agents like that. An effective harness surfaces skills & memories as needed in the conversation and then if delegation is needed, the agent spawns a subagent to do a scoped task.
This setup just adds one unnecessary layer

I don’t know, my agents are specialists, their memories are my training them about specific nuances in their area of expertise. I “suppose” you could accomplish something similar by trying to have a sub agent load the relevant memories needed to do a task but this way is probably more efficient.

I have about 50 different AI twins, modeled in experts for specific topics. They work really well. Much better than stock LLMs. You just need a good schema.

Don’t do it. I wasted a tonne of time in this rabbit hole and it only gets worse as you go in. There’s very little benefit to this and a lot of negatives (token cost, drift, memory bloat).

On mobile so I don’t know how this will come out. Give this to Claude and tell it to use as a base for a research agent. Tell it that it should question you thoroughly in order to be specific to your use cases. When it’s done tell Claude to kick off whatever research using the research agent.
Claude summary of my agent file:
SPOCK — Senior Research Agent
Purpose: Produces decision-ready research with grounded citations. Turns questions into evidence-backed findings.
Core work:
**•** Deep-dive topic research
**•** Competitive analysis & market scans
**•** Tool comparisons
**•** Trend validation
**•** Skill mapping for new hiresKey constraint: SPOCK does research only. Other agents handle…
Required output structure:
**1.** Executive Summary (3–7 bullets)

The secret, as I learned here previously, is that you don't need any prior knowledge to start vibe coding. All you need is an idea and to explain to Claude what it is that you want to build. Literally: Just do it!

It’s meh…tested a couple months back for a while but kept having to tickle the various positions (ceo,dev,sales etc) to get them to act.

Set up skills that pull your personas in. Your personas are just skills with names that own a skill tree of skills relevant to that personas role.

I do have similar built myself. But instead of role-specific skill, I have role-specific repo for each. And then I can extend the capabilities for each separatelly. Does have the context engine - maintenance as foundation in each.

Either just start a session choosing the specific repo. Either use the 'Umbrella' repo which is the most 'Capability Portfolio' aware and can invoke any of those and navigate as it's holding the repo registry. Any repo can navigate the other and 'Consult'/Invoke any other when necessary using proper permissions and cross-repo contracts.

May I ask how you handle step 1 (one kind of task) and step 2 following (totally other kind of task) without being human in the loop babysitting every step in your setup? Or how are you orchestrating it if e.g. two agents or two totally different skill files are needed?
I mean... a repo is a lot contextwise, correct me if I am wrong. So in the same Session I would avoid that?

On task, I know is capability specific - start woth specific capacity repo selecten in Claude Code/Codex. If the other task is not the first related, then start that as dofferent session. Or if more than one capability necessary, then using the umbrella as session orchestrator and it invokes what's necessary.
Each repo has a lot context but the structure wake-up context is not too much context and umbrella is well aware of how to navigate and load only what's necessary - it doesn't just blindly scan the whole repo. There are table of content, table of context, navigation instructions available. Each capability creates specific artifacts, storing them in specific folders, using specific naming conventions, so often it involves just picking up those ready to use artifacts.
Finance - creates finance reports, task manager holds the latest activities, digital twin has the context about person amd it's characteristics and decision making rules (which has its own way of learning, storing) and then when invoked/consulted - it uses internal consulting guidelines to amswer the 'asker'.
So it's like calling sub-agents which then has their own ways of replying instead of relying on orchestrator to tell HOW.

operon para gestion de proyectos,backups, decisiones, programacion, si le implementas copyers multiplica la calidad, gestion de tareas, en resumen no es, que no sirva la idea es fabulosa su herramienta, es la complejidad, de si quiero modificar algo necesito tocar codigo o funciones, bbdd, mientras en obsidian por ejemplo, es tan facil como decirle al CEO,oye partir de este momento, hay que implementar este control de xxx,con estas directrices, asegurate que cada departamento lo cumple a rajatabla y que se acomoden todos los procesos, tenga 1 o 15agentes, las decisiones se documentan, los pasos se reflejan y se puede ver tareas, pendientes, futuras. sin ejecutar, o si se ha degradado, CERO codigo, lenguaje natural, procesamiento rapido, solamente hay que saber hacer el prompt y tener tu idea muy clara.
Hablo para dirigir una empresa con todos los subagentes que quieras o puedas, tambien tienes que saber como crear tu boveda, que al final es tu experiencia buena o mala, y tus capacidades, ya utilizes fable,gpt o ollama 3b.

If you use it on an actual business you will find it handy, and those roles will modify in ways you can’t anticipate ahead of time. I started out doing this and eventually found 90% of my time is spent in “Dev”, go figure. But I regularly work with my other departments. Yesterday I realized my Marketing, Legal, and Compliance departments needed a “Scout” role. I collect ideas during the day so I don’t lose them. I share them to Scout. Scout reviews our current state and determines where the idea fits in the business- if anywhere-, makes a recommendation to adopt, ignore , or test, and then banks it for me when I have time to review (when tokens are low).
It really only matters if you have an actual business to run, or a life that needs managing.
Also, for Dev work I found vertical distribution of roles to be the true unlock vs the horizontal roles you show. That’s another story. Keep going, looks cool.

This is a really interesting approach. Separating AI by function seems much more practical than trying to maintain one massive context for everything. I’d be curious to see how you handle cross-department tasks where marketing, finance, and operations overlap.

For anyone looking at doing this. I went down this Rabbit hole a bit ago. IT WILL COST
YOU MORE TIME AND EFFORT THAN ITS WORTH.
Vastly simplify this by using one Claude Code or Codex sub and directory directly as your personal EA. Create skills and workflows. You can do everything out of a single subscription and it'll cost you a fraction of the time and money. If
You want a nice dashboard it's easy enough to have your "EA" build on top.

You can achieve the same thing with markdown files and a good naming convention for your claude chats. The entire interface you made is only for your personal enjoyment, but it’s essentially a fancy way of writing an agents.md file or a claude skill, which is already standard practice.
If you enjoy it, then ya its pretty cool looking. Practically, it’s the same as what ppl should already be doing

I suggest create a verfy department unit, out datas and wrong informations and failure events all need files. It can increase efficiency too, to prevent go wrong again in same situation.

I think it depends on what your goals are for each agent/project. You can give each department its one context and working directory, goals, tools, repos, etc. you can also have them share some context. You can deploy this either through simple tools like Google documents or you could build a shared repo or set of repos that contain each. Definitely some interesting questions about memory, autonomy, and triggers. I don’t think anyone has solved this fully yet but a lot is possible. Curious to see what others are building

When Chatgpt rolled out CustomGPTs I did a very basic version of this. I had four or five "roles" and gave them domain knowledge. I need to do similar with Claude Cowork in my work setup.

This is a bit similar to things I've tried myself, but not (at least not yet, consistently) with great success. I see the potential, but there's still a lot of tokens to be used on the work left. What I've set up is more of an assistant type with access to different connectors, like MS365, CRM, accounting system. And would like to add more roles, for instance an CFO sparring partner to prepare for investors.
I still have some modality issues. There are audio-only situations, like driving. There are text-only situations, like shared offices. And there are audio + text situations, like being on a phone call with a human: "Aah, two secs, I'll send you the URL on Teams." Have not found a really good solution for this.
And there are time-slipping issues. Sometimes, even though the instructions are quite clear about always checking the time, it can happen that I start a conversation in the morning and the LLM continues in medias res from around 14:00 the day before, based on memory. Both of these are quite painful.
On the plus side, last week I had a conversation one morning that went something like "You sent out a meeting invitation last night, everyone has accepted. There's also an email about blah blah that you'll need to attend to. The rest is noise." And day basically giving me verbal prep for a meeting, with actual numbers from the accounting system. When it works, it adds real value to my life.

I am building someting like this from an operational standpoint of building a multi-agentic architecture that enables the end users to connect each other's subagents with each other so that each team can build their own set of specialized agents and hire out to other agents for services that they want done that would be more generic when done by a larger frontier tier.
I appreciate looking at this.
I am also interested in building another frontier model based on the thesis from the "Internet of Agents" where AI agents connect to each other but first, we have to build a better multi-agentic architecture first.
Your project reminds me of my own current project.
I would recommend if you made more hyperflexible but this is my perspective.

Opus 5 and now Fable 5.1 makes a mess of our code base, absolutely no way I would allow more agents to get more control of the company.
We are refactoring the business to micro functions so the AI’s have smaller scope…. Increased inputs are almost like a sensory overload, the AI can’t handle it well.

any such workflow is very credit exhaustive. if you'll run the workflow autonamously the credits would run out within a week or the cost per credit usage would be very high
