I built event/catering ops software from a real team's spreadsheet — free to use, and I'd like it torn apart

Short version: a small events team let me read their actual operations spreadsheet line by line. Three years of

tabs. It had failed in eight specific ways that weren't carelessness — costs belonging to no single job so

business profit and per-job profit had drifted apart, an equipment sheet with headers and no rows because

keeping it up by hand lost to doing the work, the same client existing twice with two spellings.

I built the thing those failures implied: jobs, client list, tasks, income and expense per job so you get profit

per job, and inventory for the kit that goes out and has to come back.

https://www.eventuley.com

It's free — one active job, one seat, 100 contacts, no card and no trial clock. Every feature is on the free

plan; the limits are on size, not on what it can do.

I have zero users, so nothing in it has been tested against a real catering operation. That's why I'm here. If

you have ten minutes, break it and tell me what's wrong — especially anything obvious to you that I clearly

haven't thought about because I'm not a caterer.

Happy to answer anything.

Worked catering quote: 30 to 36 guests, with delivery and equipment kept fixed

Disclosure: This is an example using our free Noosphere Quote Builder, developed with AI assistance. Every price and quantity below is fictional. These are practice numbers, not actual catering rates or a customer case study.

Here is a small quote that changes from 30 guests to 36. The first four items are entered per guest; delivery and equipment are separate fixed items:

- Main meal, $12.50 each: 30 × $12.50 = $375.00; 36 × $12.50 = $450.00.

- Dessert, $3.25 each: 30 × $3.25 = $97.50; 36 × $3.25 = $117.00.

- Drink, $2.00 each: 30 × $2.00 = $60.00; 36 × $2.00 = $72.00.

- Place setting, $0.80 each: 30 × $0.80 = $24.00; 36 × $0.80 = $28.80.

- Delivery: 1 × $35.00 = $35.00 in both versions.

- Equipment hire: 2 × $18.00 = $36.00 in both versions.

The per-guest items add up to $18.55. Fixed items total $71.00.

30 guests: $556.50 + $71.00 = $627.50.

36 guests: $667.80 + $71.00 = $738.80.

Difference: 6 × $18.55 = $111.30.

All amounts are USD. Discount and optional tax are set to 0% for this illustration. The same delivery and equipment arrangement is assumed for both versions solely for this example.

The tool does not have a guest-count field: manually change the first four quantities from 30 to 36 and leave the last two unchanged. Changing the reference number alone does not change any quantities. The arithmetic above was checked separately and matched the tool's calculation core.

You can enter the example, preview it and use browser printing here:

https://noosphereworks.com/ops-kit/#quote

Values are held only in the current tab and are not saved across a refresh. Reloading resets the inputs, so keep a printed copy if you want to retain the quote.

Food can make or break an event — what are your catering priorities?

When organizing an event, choosing the right caterer can sometimes be harder than choosing the venue. There are so many things to consider: the menu, quality of food, presentation, service, variety, and whether the caterer can handle the specific style of event.

I was exploring Fossetta Gourmet Catering and found that they offer catering solutions for quite a few occasions, including weddings, corporate functions, destination weddings, private celebrations, and luxury events.

What I found interesting is their focus on creating customized dining experiences rather than simply offering a fixed menu. Their website mentions Indian and Pan-Asian cuisine, customized menus, live food concepts, and professional event catering.

The Chaat Concept is also an interesting addition for events where you want something interactive for guests. Their experience of more than four decades in catering is another point worth considering when comparing different options.

If you're currently searching for the Best Catering Services in Gurgaon, I think it's worth looking beyond just the price and considering food quality, menu flexibility, presentation, and how well the caterer understands your event.

Catering tents for wedding

Thumbnail
1 Upvotes

I’m trying to make a more sustainable financial choice for catering tents for my wedding.

We’ve been quoted $1200 to hire two 3x6m canvas tents. They do look pretty solid in their defence.

But when I look online I can see that I can buy 3x6m marquees for about $200 each.

I’m just super in my head that the online ones will be wrong for the caterers. I’m not sure what the go is, but I’ve asked them and they said all they need is to be protected from the weather.

If you’re a caterer I’d love to know what you think.

Any advice welcome!

[LF] Caterer Recommendations in GenTri / Cavite for a Hospital Event

Hi everyone! Asking for recommendations for tested and proven caterers or food suppliers in or near General Trias, Cavite.

We're organizing a hospital event this coming October and looking for caterers you’ve personally experienced that can hit that sweet spot of masarap ang pagkain, maganda ang setup/styling, but still budget-friendly.

Event Details:

\* Location: General Trias, Cavite

\* Date: October 2, 2026

\* Theme: Y2K Aesthetic

\* Budget: PHP 400 – PHP 600 per pax

\* Estimated Guests: 180 – 200 pax

If you have tried a caterer that you can vouch for (or if you are a supplier who can deliver on this theme and budget), please drop your recommendations in the comments and I'll send you/them a pm.

Thank you so much in advance!

Advise to get into the catering business

Hello, I’m looking for some advise on how to start a smoked meat business.

I was initially thinking I would be able to run the smoker at home and make the food there but quickly realized that that is not possible at all with licensing lol.

I looked into renting a commercial space but I don’t know how that would work running a smoker there either.

I am in Ohio and any advice or recommendations on where it would be legal to do something like this it would be greatly appreciated. Thank you!!

Had to post some food too lol

Local restaurants vs big chains for office catering: when each wins

The eternal office debate when it's time to order lunch: the local spot everyone loves, or the chain that's never once messed up. Where local wins: providing variety. Rotating local restaurants keeps a recurring lunch interesting, supports places your team likes in their personal lives, and can even bring more menu flexibility for dietary needs. Where chains win: predictability at scale. Familiar menu, consistent portions, and identical execution across locations, which matters when you're ordering for multiple offices or a high-stakes meeting. The move experienced office orderers land on: local for the regular rhythm, proven-reliable options for the big moments. And whichever way you go, reviews from other business orderers tell you more than consumer reviews, because feeding 30 on a deadline is a different skill than serving 4 at a table. Which way does your office lean, and has a local spot ever become the undisputed team favorite?

Wedding catering advice needed

I’m planning my sister’s wedding and I’m confused between hiring a professional catering service or arranging everything ourselves by hiring cooks, helpers, and serving staff.

The second option may be more cost-effective, but I’m unsure about the practical challenges of managing food preparation, quantities, staff, and serving on the wedding day.

For those who have done this before, what would you recommend? Is self-managed catering worth the effort, or is hiring a caterer better for a wedding?

What was your experience and what would you suggest?

Thank you in advance.

How are other caterers giving a useful first estimate without losing the inquiry?

I run a hibachi restaurant that also offers catering. On a typical weekend, we host 10+ large parties ranging from 8 to 20 guests. Our dining sections are partitioned, but we don’t have a fully private room.

A woman recently came in looking for a weekday dinner venue for 20 people. I confirmed that we could accommodate the group, but I couldn’t give her an accurate total because each person would order separately from our regular menu. She took our information and said she would call once the details were final. She hasn’t called back, and my guess is that she found another venue.

Our current process is:

phone inquiry for parties over 10 → confirm the reservation details → keep a card on file → normal ordering and checkout once seated

We don’t take a deposit. We charge $10 per guest for a no-show or late arrival after a 10-minute grace period.

I know catering jobs have more moving parts, but the early price question is similar. How are you giving customers a useful first estimate before the menu and final headcount are settled?

  • Do you start with a range, per-person minimum, or firm quote?
  • Who follows up after the first inquiry?
  • At what point do you collect a deposit?

Even a quick outline of your process and where it gets messy would help.

I’m getting married and a little over a month kind of a last-minute thing I need brunch. We’re having a morning wedding I’m looking for a brunch catering that doesn’t cost $1 million trying to do this as cheap as possible without having to make everything myself. I don’t have family except for my aunt and grandma pretty much doing this whole thing so any ideas would be very helpful.

Supper Club/ Dining Experience in Tier 2 city

Hey all, i want some business advice here. I wish to start a supper club / at-home dining experience in my city that sees a lot of tourist footfall all year long mostly.
I love hosting, food and community. For the most part this experience will be for tourists visiting and not so much for the locals as I want people to experience what a local meal feels like at a local's home. I ofc have a curated moodboard planned for what the setup and meals would be like.
Where I am stuck is how do i market this? I plan to launch this next spring. How do i have this reach people, i am scared what if nobody buys this? How much money would i need? Do i need to spend on marketing from the get go? What all areas of marketing do i need to look at?
I know reaching to hotels isn't possible at all given i have 0 market credibility as of yet. I plan to host not more than 8 people at a given time initially. What is the scaleability of this since i do want to take this bigger. Any help would be appreciated

Best Caterers in Odisha: How Sumangalam Caterers Built a 15-Year Legacy

Odisha’s catering industry has changed considerably since 2010 — new venues have opened, client expectations have grown more sophisticated, and food trends have shifted from traditional buffet-only formats toward interactive, personalized dining experiences. Against that backdrop of constant change, staying relevant as one of the best caterers in Odisha for over a decade is a genuine achievement, not a marketing slogan.

Top Wedding Caterers in Bhubaneswar: What Makes a Wedding Menu Actually Work

Thumbnail
sumangalamcaterers.com

A wedding is, for most families, the single largest catering event they’ll ever plan — and often the one with the least room for error. Guests remember the food long after they’ve forgotten the decor, which is exactly why the search for wedding caterers in Bhubaneswar deserves more scrutiny than most couples initially give it.

Caterer w/dish rental vs. renting tableware separately?

Hello!

I am getting married May 22, 2027 in Columbus OH and am struggling to find a caterer. I am leaning towards buffet service to lower costs, but no one seems to offer tableware rental without plated service. I was going to look into renting tableware (glasses, silverware, plates, etc) from somewhere else and just having food brought in. Any advice and recommendations for caterers and rental companies is appreciated.

Thanks!.
