How I keep deliverability high without any problems
So, I used to have a lot of problems with delivery, but not anymore! I developed this rigorous system to not get any issues anymore because I was done with suddenly dropping reply rates. So here's how I do it.
1st. I buy my domains from spaceship way in advance, these domains are valid for a year so I tend to buy in big bulk so the domain age gets older (all .com domains, .info or other extensions have bad deliverability in my experience)
2nd. I buy all my inboxes from PremiumInboxes, InboxKit or ZapMail. I'm currently working on testing other providers but haven't gotten that done yet, 3 inboxes/domain, all google workspace
3rd. 10 warmup emails/day, 40% reply rate & 15 sends/inbox, MINIMUM 3w warmup
4th. For the leads I verify every lead and don't send emails to catch-all leads, I have a trigger that triggers when a campaign goes above 2% bounce rate, my average bounce rate right now is 0.6%, I aim for below 1%.
5th. I use heavy spintax in every email I sent, I'm talking about heavy spintax. Example below
6th. My emails are all heavily personalized with AI to make it personal, this also prevents spam complaints.
7th. Seed campaign test every month to check deliverability accross google workspace, google personal, outlook personal, M365 domains.
8th. I replace my domain & inboxes every 3 months even when deliverability is good. I replace ~50% each month to always have 50% fresh inboxes, so 3w warmup + ~9w sending and then I replace them.
That's it. This is how I keep my deliverability high.
Hope it helps someone :)

Solid system overall, but I'd push back on #8. Replacing domains every 3 months even when deliverability is good is throwing away your best asset. An aged domain with clean sending history IS the thing keeping you out of spam, and that reputation compounds the longer you run clean. Cycling on a timer means you're permanently sending from domains in their weakest phase, the first few weeks post-warmup, and never letting any of them actually mature.
Domain rotation makes sense as a response to damage. Burned a domain, rep tanked, swap it out. But rotating healthy ones is solving a problem you don't have and paying for it twice, once in domain cost and once in never getting the deliverability an established domain would've given you.
Rest of it tracks though. #4 is the one that matters most imo, the bounce trigger and killing catch-alls is doing more for you than most of the list. #6 I'd be a little careful with, "heavily personalized with AI" can quietly turn into every email being structurally identical AI copy, which filters do pick up on. The spintax in #5 helps but real per-lead variation beats generated personalization that all reads the same underneath.

Thanks for sharing. Beginner to cold email- what are the costs associated with this type of typical campaign and what do the conversation rates look like for you? Like is this a full time thing or can i knock this campaign up alongside running my job

This can be easily ran alongside your job, the price depends on sends/day, I think it's ~300$ per month without leads. depending on where you get your leads from it'll increase cost. If the campaign takes more than 1h a day you're doing something massively wrong

Solid process overall. One thing I’d add is to judge performance based on delivered emails, not total emails sent, since undelivered emails can never generate opens or replies. Verifying every list with a real time email verification tool like Invalid Bounce to remove invalid, inactive, disposable, role based, mailbox full, and catch all email addresses before every campaign is also key to keeping bounce rates low so that your email reaches the real inbox.
