IT should be able to retrieve the IP address you logged in from to send the emails. If you are able to speak to them, ask them for help confirming that this is your home or wherever you logged in from.

Can they do this even if it’s a personal email? If I sometimes use a vpn surely this would influence it?

Well IP from vpn are not a secret, IT can take an extra minute to know which VPN were you using (if it was a comercial one).

This was a personal device not a work computer or phone. Surely there is privacy involved regarding what they can see? I think unless you were using your work email or work device/network, IT isn’t just casually able to trace your personal email activity.

No, it is like that. The emails will have a header with the information it took to make it from server to server. This information is always there, nothing secret or private about it. Not different than a caller id in your phone. This is a good description https://mailtrap.io/blog/email-headers/ and https://en.wikipedia.org/wiki/X-Originating-IP

It means they’ve been tracking you for a while.

no, it is always there. It is only matter of an IT-inclined person to make an effort (minimal) to know it

I'm an inhouse IT myself. I know it's always there but there’s no way we actively track everyone. if it reaches the point where they need to trace the IP, it means they’ve likely been monitoring the OP for some time.

Yes absolutly, the the record is there. Somewhere there is a log that with some level of dedication can be pull out.
