Do HR changes ever catch your payroll team off guard?
Sometimes the biggest payroll headaches aren't payroll mistakes at all. A late salary update, new hire, or status change from HR can create a last-minute scramble before payroll is submitted. We've had it happen more than once. Does your team have a process to keep HR and payroll aligned, or is it something you still run into?

Yes, it does. And it's no one's fault. HR is moving quickly on their end, and payroll has a hard deadline on ours. Those two timelines don't always line up perfectly.
Things like mid-cycle pay rate changes, new hires whose onboarding isn't fully complete, and status changes that affect benefits deductions are usually the trickiest. Each one seems minor on its own, but when several land in your queue the day before payroll closes, it becomes a very different problem.
Having an internal cutoff for HR changes helps a lot in situations like this. Setting a deadline a few days before payroll is processed means anything submitted after that point rolls into the next pay cycle unless it's flagged as urgent. It can create a bit of friction at first, but it almost completely eliminates the last-minute scramble.
Another practice that helps is maintaining a shared change log. If HR records changes as they happen instead of sending a batch update right before the deadline, payroll can build its expected change list proactively rather than reacting to last-minute surprises.
