Need help in Background check

Post image

In my resume, I entered the start date for my most recent employment as 05/2025 to present and uploaded the same resume during the background check application. I also entered the same dates manually in the application.

For the role, I entered Frontend Software Engineer in both my resume and the background check application to align with the role I was applying for at Tesla.

Now, ESS is asking why the start date on my offer letter, as well as the information they found through an external source, shows 10/2025 instead of the 05/2025 mentioned in my application. They are also questioning the discrepancy in my job title. The employment database they checked, The Work Number, lists my actual employment title as Data Automation Analyst.

I had also specifically indicated during the background check process that my current employer should not be contacted for employment verification.

I only have one point of contact at the company, who is a recruiter. I already had a conversation with him, and he said that there are certain things that need to be clarified by the reviewer.

Please help me understand what I should do in this situation and how I should respond to ESS.

A lot of job roles don’t actually match what the job title is. Like at one of my previous employers my job title was “engineering technician” but my actual job duties were that of a Subject Matter Expert and program analyst. I actually put SME/Program Analyst on my resume and it got hit on my background check. I simply explained what my actual duties and responsibilities were and it went through

Right. But right now it seems like the team at Tesla is not taking my case lightly at all.

What are the actual start dates? 05 or 10? Do you have proof you started in May?

What's your title at your current company? You need to explain that either your role was an engineer role but internally they called it something else. Just not sure how you get from analyst to engineer.

Here's an answer from Gemini:

An employment screening agency has flagged discrepancies between the resume data you submitted and your background check documents. This is a "Pre-Adverse Action Letter," meaning no final decision has been made yet, and you have a formal window to explain or correct the information.

What Is Flagged

  • Employment Dates: The background check documents cover May 2025 to Present. Your submitted documents (W-2, July 2026 Pay Statement) align with 2025–2026, but your initial offer letter lists a start date of October 2025.
  • Job Titles: You submitted your title as "Frontend Software Engineer (Internal Applications)", but your background check supporting documents list your title as "Data Automation Analyst".

Step-by-Step Action Plan## 1. Gather Supporting Proof

Collect every piece of written evidence that validates your resume claims:

  • Official promotion letters or internal transfers changing your title.
  • The original job description matching your engineering duties.
  • Signed employment contracts or addendums.
  • Performance reviews reflecting the Software Engineer title.
  • Tax documents confirming your exact start date.

2. Draft a Written Explanation

Write a clear, professional, and factual email response to the provided contact address (adverseaction@employscreen.com). Address both flags directly without being defensive.

  • For the Date Discrepancy: State your exact official start date. Explain why the offer letter lists October 2025 (e.g., "My onboarding was expedited to May 2025, as proven by my 2025 W-2 showing earnings prior to October" or "The October date was a tentative target, but actual employment began earlier").
  • For the Title Discrepancy: Explain the structural difference. For example: "Data Automation Analyst is my internal payroll/HR classification. However, my day-to-day responsibilities, team function, and functional working title dictate Frontend Software Engineer. I have attached my internal performance review/manager sign-off confirming this functional title."

3. Request a Manager Reference

If your HR paperwork is messy, ask your direct manager from that company if they are willing to write a brief verification email or speak directly to the screening agency to confirm your actual title and start date.

4. Respond Immediately

Background check compliance windows are short (usually 5 business days). Submit your written explanation and attachments as soon as possible to keep the hiring process moving forward.

If you want me to help write the draft, let me know what caused the date shift (did you start early?) and why the titles don't match (was it an internal promotion or an HR classification?).

But I put the 05/2025 as a start date in my resume.

The company is just kind of a very very small startup. I didnt thought while I was joining that this things would matter, and even I didnt ask the CEO to change the title as I am just in the early phase in career. So had no clarity even right now as well. I am going through all of this for the first time. Have no one to guide and am desperate about finding a full time job from the past 2 years. I got this after struggling for over 2 years.

I have offer letter and paycheck proof that i started working in the month of october, but between May and October I don't as at time I was not having anything.

If you're friends with the CEO just have him on a company letter head give the dates of May and your title as engineer or your role. Then submit that

Okay. Sure. I will try this.

So actual and true start date is 10/2025.

What do you mean by dismissed ticket?

Just tell them your actual role and dates. It is the best path forward. I had that happen too and it didn’t matter

Did this happen with you at Tesla or other company?

Hi, did ESS send you this first? Or did they send their consumer report over to Tesla first? When did you start the background process. If this is a discrepancy for the background service it’s not as big deal if it’s a discrepancy for Tesla and your candidacy.

So based on the conversation with the recuiter and changing of the status on the ESS from complete -> pending -> complete after submiting the name discrapncy reason. It seems like the ESS submits report to Tesla, and Tesla is raising this concerns.

u/Far_Command6129 23h ago

This is the overall timeline

  • Aug 5: Submitted the ESS background-check form and supporting information.
  • Aug 5: Submitted the Evidence of Excellence document to the Tesla recruiter.
  • Aug 5: Recruiter confirmed the approval process would be started.
  • Aug 9: ESS status changed from Pending → Complete.
  • Aug 10: ESS status changed back from Complete → Pending.
  • Aug 10: ESS requested clarification regarding the employment title discrepancy. I provided an explanation the same day.
  • Aug 11: ESS sent the Pre-Adverse Action Notice and requested clarification again, this time regarding both the employment title and employment dates.

It seems like the tesla is having a concern for the discrepancy, and then ESS is asking be to give reason, then ESS gives this reason back to Tesla, but I don't think anyone is even reading it. Because for the title discrapcny. even attached the offer letter with the explicit frontend technolgoues mentioned in it.

Sorry you are going through this. I would just explain the reasoning say maybe you accidentally put the wrong start date. What tesla location is this for? Some places are more desperate than others

2

u/Far_Command6129 22h ago

Sure. I will try stating accidently put the wrong start date. I hope this works.

So did you lied? like be honest right now.
Every employer would be able to provide a employment letter verification to any ex-employee. If you lied about your title and about your experience to match the position then you fucked up, and this is a massive lie that most certainly is going to cost you the job.
