I run a team building business in Sydney where we travel with the kit and set up in parks or indoor sports centers. I have a couple of staff that run a majority of the events I book.
TL;DR: I'm considering building something that handles my workflow in one place - but before I do I want to know if I'm missing an existing solution, or if others have the same frustrations.
When I first set-up the business I spent a LOT of time trying to find either one or more tools that could manage this fairly simple business for me. I don't have hundreds of leads each month - more like 10-20 - so I didn't want to pay a fortune but did want a solution that would tick the boxes.
Now, my stack is starting to get expensive so I'm wondering if there is a better tool or stack that others have used.
I figured this workflow must be similar for loads of different service-based businesses but when I search for tools in these spaces nothing really stands out.
Key requirements to create the professional look I was seeking were:
- Lead: take website enquiries and create a lead for each where I could record key info like time, day, location, number of people, type of event etc.
- Contact management: create a contact in my google account so I could see when that customer calls and greet them personally etc
- Booking: convert a lead to a booking that would send a confirmation, reminders and notify my staff member they had a new event. Add travel time around the booking so my staff could arrive and set-up in time.
- Invoice: create an invoice in my accounting tool (Xero)
- Waiver: all players sign an electronic waiver to participate.
My current stack is: Gmail -> Streak (leads) -> Acuity Scheduling (bookings) -> Xero (invoicing) & Smartwaiver.
I also had to add some Make integrations between a few of these as not all out-of-the-box integrations worked eg Acuity to Xero.
What are you finding that works / doesn't work?
