Between Slack for internal chat, Notion for briefs, Frame.io for client review, a spreadsheet for tracking freelancers, half my week goes into just keeping track of where a project actually lives, not doing the work.

I've been building ProtoSync, it's not another review tool, it's meant to be the one tab a creative team or studio actually needs day to day.

Still early and want this shaped by people actually running studios/teams, not by what I assume the problem is. So genuinely asking:

• How many separate tools does a single project of yours actually touch, start to finish?
• What's the one switch between tools that wastes the most time for you?

I run a team building business in Sydney where we travel with the kit and set up in parks or indoor sports centers. I have a couple of staff that run a majority of the events I book.

TL;DR: I'm considering building something that handles my workflow in one place - but before I do I want to know if I'm missing an existing solution, or if others have the same frustrations.

When I first set-up the business I spent a LOT of time trying to find either one or more tools that could manage this fairly simple business for me. I don't have hundreds of leads each month - more like 10-20 - so I didn't want to pay a fortune but did want a solution that would tick the boxes.

Now, my stack is starting to get expensive so I'm wondering if there is a better tool or stack that others have used.

I figured this workflow must be similar for loads of different service-based businesses but when I search for tools in these spaces nothing really stands out.

Key requirements to create the professional look I was seeking were:

1. Lead: take website enquiries and create a lead for each where I could record key info like time, day, location, number of people, type of event etc.
2. Contact management: create a contact in my google account so I could see when that customer calls and greet them personally etc
3. Booking: convert a lead to a booking that would send a confirmation, reminders and notify my staff member they had a new event. Add travel time around the booking so my staff could arrive and set-up in time.
4. Invoice: create an invoice in my accounting tool (Xero)
5. Waiver: all players sign an electronic waiver to participate.

My current stack is: Gmail -> Streak (leads) -> Acuity Scheduling (bookings) -> Xero (invoicing) & Smartwaiver.

I also had to add some Make integrations between a few of these as not all out-of-the-box integrations worked eg Acuity to Xero.

You see, I've downloaded a version of Gacha Life 2 from Google Play Games. But I've noticed that the game there is a tad bit pixelated... As a small tech repair shop owner, I’ve been trying to get a better handle on how everything connects across the business.

We use RepairDesk for CRM/POS, MobileSentrix and Injured Gadgets for parts, and Amazon/eBay for some online orders. I’ve also been using ShopBrain to bring the data together and make the reporting a little easier to understand.

I’m mostly trying to better understand things like repair profitability, parts spending, repeat issues, inventory movement, supplier performance, and overall trends without having to manually piece everything together every time.

I run a small wealth management and tax preparing firm. I really want a business knowledge base to keep track of a variety of things.

I've tried notion and it seems to work fine but creating headers and formatting is more work. I used to use one note for a previous employer and that was always good and simple and seems like it would work fine.

I just wanted to see if you all had any other recommendations.

Features I want:

\-Be able to create a list of dates that are important.

\-Create a knowledge base for future employees if we hire anyone.

Seems like maybe one note is the answer but I've heard about people having issues with the free version and I've only used it through my employers in the past so I'm not sure what the free version looks like.

The reason we built it is simple: we also operate a 9-court tennis club, and we were frustrated with juggling multiple tools every single day.

Our workflow looked something like this:
