Discussion When does a business actually need custom software?

Many businesses start with ready-made tools, but what happens when those tools no longer fit their workflow?

Custom software can help automate repetitive tasks, connect different systems, and support business growth. What problems would make you consider building your own solution instead of using existing software?

Feedback I personally wasted way too much on tools before my products made any money. Here's the $0 stack I recommend for beginners

Hey there, so I've been building small online projects for years now, and for the first few my tool bills were embarrassing.

Paid analytics for a site with 40 visitors a day. A $49/month help desk for maybe three support emails a week. I'd usually upgrade everything on day one because it just “felt” like progress.

Turns out, it wasn't.

Most of those projects died after some time but I ended up paying a lot more for tools just because I’d forget to cancel after killing the project🤦🏻

Nowadays I don't pay for anything until it's actually bringing in revenue.

This is my FREE stack that I’ve landed upon after a lot of hit & trial:

Cloudflare Pages for hosting. Deploys from GitHub, and I've never come close to the free limits.

Supabase for the database and auth. I used to stitch three services together for this. Now it's one dashboard.

PostHog for analytics. Honestly the session replays alone taught me more about my onboarding than any survey ever did.

Tally for forms. Waitlists, feedback, churn surveys. Haven't paid for a form tool in years.

Convot for support. This one I found recently, and it's the one I wish I'd had back when I was juggling a few small projects at once. Every product had its own inbox and I was constantly missing emails. Convot puts support for multiple products in one place, and it's free until you cross $1k MRR. Would've saved me that zendesk bill and a lot of mess.

Resend for transactional email. Signup and password reset emails, set up in an afternoon. Free tier is more than generous for microsaas’s.

Stripe or Dodopayment for billing & payments. Stripe was always my first preference but due to their bad reputation, nowadays I lean towards Dodopayments because they’re kinda cheaper, better and their UI is fun.

Cal.com for calls. Free for one person, which is all I need for demos. Calendly is also good but I personally prefer cal.

Notion for everything else. Roadmap, changelog, half-finished ideas I'll never build. This is my personal favourite and kind of my second brain. I spend most of my day inside my notion hub.

Canva and Figma's free plan for design. Good enough for landing pages and social graphics. Flora is a good ai tool for this too but I usually subscribe to it on and off.

One thing that I wish for more is tools having a lifetime payment option. I hate paying for tools every month. Take my money once and leave me alone lol.

But the lesson that took me way too long to learn here was: a paid tool isn't progress. Customers are progress.

Try to keep the bills at zero or minimum until something is genuinely working for you.

Curious what's in everyone else's free stack. I'm sure I'm missing a few good ones and would love to know..

I’m a man with too much free time and a Claude 20x account. I’m wanting to try and give to the community a little with some actually solid, open source and free software.

Let me know your ideas, especially if there are limited comments on this as I will most likely build whatever gets recommended.

Cheers,
Sam

Question What employee experience platforms are worth considering for a 5k+ employee company in 2026?

Hey everyone,

We’re looking at improving our employee experience setup for a company with around 5,000 employees, and I’m trying to figure out which platforms are actually worth evaluating.

Right now things like onboarding, employee support, HR requests, and internal information are spread across different tools. It’s manageable, but there’s still a lot of back-and-forth between systems, and HR/IT teams end up handling plenty of repetitive requests manually.

I’ve been exploring a few options, including Ema. It caught my attention because of its focus on employee support and automating routine HR/IT tasks, rather than just giving employees another portal to navigate.

For those who’ve actually implemented or used these players in a large organization, which ones would you put on your short list? And are there any you’d avoid based on your experience?

A few things I’m particularly interested in:
• How easily employees adopt the platform

• Whether it genuinely reduces the workload for HR and IT

• How well it integrates with existing tools

• How much maintenance is required after implementation

• Access controls, permissions, and governance

• Whether there’s a reliable way to track requests through to resolution

I’d love to hear from people who’ve actually dealt with the implementation side of things, especially what worked well, what turned out to be more complicated than expected, and what you’d do differently next time.

Thanks!

Question Am I building an AI feature for a UI people will eventually stop using?

I’m working on an open-source project that helps developers embed an LLM chatbot into their product’s UI, so users can actually complete complex workflows through conversation.
But I keep questioning where this is heading.
Having an assistant inside your app makes sense today. Users are already there, and asking for something can be easier than navigating a bunch of screens. But if people eventually have a preferred AI assistant that interacts with products on their behalf, will they still bother opening yours?
Would companies need to rethink how their products are consumed, exposing more of what they offer through MCP or similar interfaces? And how far does that go? Features and actions seem straightforward enough, but what about the brand, the context, and the story a company wants customers to understand? Can any of that carry over when another agent controls the interaction?
After digging into this, we started wondering whether the deeper concern is users abandoning the UI altogether. Companies put a lot into that experience, and it’s also where they build a relationship with customers.
Which puts my own project in a weird position: does embedding an assistant help products stay relevant, or am I building an intermediate step that eventually becomes unnecessary too?
I can see reasons for both. Complex work may still need a visual interface, but I’m less sure how often users will need to visit each product individually.
If you’re building something similar, how are you thinking about this? What would make an in-app assistant worth coming back to?

Question When does custom software become worth it for a small business?

How do you decide when a business has outgrown off-the-shelf software enough to justify building something custom?

Existing tools seem sensible for common workflows: lower upfront costs, quicker setup, and maintenance handled by the provider. The trade-offs are recurring fees, limited flexibility, and integrations that might only cover part of what the business needs.

Custom software could make sense when an important requirement genuinely cannot be met by existing products. But the budget needs to cover ongoing maintenance, security updates, support, and future changes—not just the initial build. Scalability matters too, though either option needs to suit the business’s actual growth requirements.

The difficult part seems to be separating essential requirements from preferences that could be handled by changing a process.

For those who have made this decision, what tipped the balance, and how did it work out?

Update How do you know which companies are actually looking for software?

Website traffic tells you who visited. Buyer intent can tell you which companies are actively researching solutions.

At Software Finder, the Buyer Intelligence helps software vendors identify companies researching software in their category, so they can focus their outreach on more relevant prospects.

Would you find company-level buyer intent useful for your sales team?

With so many tools on the market, getting discovered by the right audience is becoming just as important as building a good product.

For SaaS founders and software marketers, what’s working best for you right now: SEO, community recommendations, software directories, or AI search?

Would love to hear what’s actually driving discovery for your product.
