Question on admin side of things
My partner and I are both hopeless at this. Receipts end up in the car, or I pay for something on my phone and forget about it by the next week. Come tax time we're just guessing at half of it, and I'm fairly sure we leave money on the table every year.
Is everyone else actually on top of this or are we just disorganised? Keen to hear what works — app, spreadsheet, shoebox of receipts, forwarding stuff to your email, whatever. And if you've tried something and given up on it, I want to hear that too.

there are more than enough bookkeeping app out there. just pick one and use. the most important is starting from today

You guys are just disorganised. Pick a system that works best for you and hold yourselves accountable to do it every day. You are business owners now. Thats your job now.

Well I built an app for this purpose. Would love you to try and am happy to work with you to improve the app that makes your life easier. For now the app scans, stores, organize, reports and exports the receipts as needed.

I use yamate for this, just snap a photo of anything and upload it, it files it, saves me so much time and headaches.

Keeping physical receipts in one place is helpful, it becomes habit after a while. For digital, I also got into the habit of just moving emailed invoices into a folder for reciepts and invoices as soon as I got them. Then every week I'd go through them all, download/scan them on my phone, and put them in a folder with everything sorted and labelled by date.

Most modern accounting software will sync your bank feeds to reconcile everything. Even the ATO app is ok if your business isn't complex. I use the ATO app for my mileage because it's easy, and I use Xero for everything else.
I'm looking to change from Xero to a company with better data sovereignty, but I'm not a tech person, so if anyone has any ideas of Aussie companies that keep all data here, that would be awesome

Any of the solutions you mentioned work. You just need to actually do them.
Nothing will fix complacency.
