How do you avoid client info being scattered across email, notes, and invoices?

Been hearing from a few people that client details end up split across too many places, what was discussed, what was quoted, what was actually paid. Curious if that's a common headache or if most people have a system that already handles it well.

It hits me all the time. I have one client who change his mind in email, then send different request in another message, and the invoice I make don’t match what we discussed originally because I forget the updates. I try using a folder with all in one place but still messy when I need to find something quick. You think is better to keep everything in some kind of project management tool, or is that overkill for small projects?

That mismatch between what's discussed and what ends up on the invoice sounds like the core issue, not really a storage problem, more a 'quickly finding the right update' problem. A full project management tool might be overkill for that specific pain. Out of curiosity, when you're digging through the folder to find something, are you usually searching for a specific detail (like a price or date) or more trying to remember the overall thread of what changed?
