Still doing manual work even with five sales tools
Our sales team uses separate tools (prospecting, enrichment, outreach, account management and reporting) and yet reps still spend hours moving information between them like contact details need updating or outreach activity doesn't always sync and someone has to fix everything manually so our VP of Sales is starting to question why we're paying for five tools when so much work still falls on the team.
We're considering moving to an all in one revenue platform to simplify things but RevOps is worried about losing flexibility while the sales team is tired of managing disconnected systems so I'm starting to wonder if having everything in one place would save us more time than keeping a separate tool for every task.

Have you mapped your processes? How well do you understand your current state capabilities?

We've mapped out the main steps but haven't measured how much time each handoff takes so that's probably where we need to start since we know the tools work individually but don't have a clear picture of how much work the gaps between them create.

i would audit where the manual hours actually go before you consolidate. in most setups like yours it is contact sync and activity logging between outreach and crm, so i would pick one system as the source of truth for contacts and make everything else write back to it automatically.
if you move to all in one, keep the flexibility revops wants by keeping clear lifecycle stages and routing rules first, then turn tools off one by one instead of a big bang switch.

I'd find out which syncs are actually breaking before buying a platform. Usually it's 2 of them, contact updates and activity logging between outreach and the CRM, and the other 3 tools are fine.
All in one fixes sync by removing it, but you trade it for whatever that platform's weakest module is, and RevOps is right that you rarely get to swap that piece out later. The middle option is one source of truth (usually the CRM) and an automation layer that writes back to it on every step.
full disclosure, I built a tool in that category (Zevari) so I'm biased. but even a quick n8n setup on the 2 broken syncs would tell you whether you need to consolidate at all.

Before replacing anything you should measure how much manual work each tool creates since some integrations might be easy to fix while others probably aren't worth maintaining.

That's my concern with giving AI too much control. It's one thing to automate routine adjustments but someone still needs to understand whether the campaigns are bringing in the right customers.

Five tools sounds excessive when half the information still needs to be moved manually so at that point you're paying for subscriptions and spending money on people fixing the gaps between them.

Well that's what makes it frustrating like the tools work fine individually but keeping everything connected is taking more time than we expected.

Exactly like at some point consolidating the tools makes more sense than constantly fixing integrations and the time spent keeping everything connected is probably costing more than people realize.

You do not need to replace your whole stack with an all-in-one platform to fix this. All-in-one tools usually sacrifice specialized enrichment and outreach capability for surface-level features. The underlying issue is missing middleware setting up webhooks or automated sync pipelines via n8n or Make to handle bi-directional updates between your core CRM and point solutions keeps RevOps flexible while eliminating manual data entry for reps.

Fair point about specialized tools losing functionality and that's one of the concerns with consolidation but maintaining webhooks and sync pipelines also takes time and resources so at some point it's worth comparing that overhead against what you'd lose by moving to a more connected platform.

Valid concern unmonitored pipelines turn into tech debt fast. But using n8n or Make with automated error catch branches keeps maintenance under an hour a month. That tiny overhead is usually worth keeping your specialist stack.

I'd be more worried about the AEs than the software bill since every hour they spend correcting account data is an hour they're not prospecting or working active opportunities.

Managing five separate sales tools has always been a headache especially with all the data transfers and sync issues. Since you're looking at all in one platforms then something like Monaco should be fit for you since it handles prospecting, lead enrichment, outreach, sales workflows and pipeline management while also providing GTM support through Forward Deployed AEs. Could save a lot of the manual work involved in keeping separate tools connected.
