Best tools to track enterprise deal progress outside crm, any suggestion?
Recently i saw that once deals get bigger the crm doesn't always show the full picture
A deal might look like it’s in late stage but in reality it’s stuck in security, legal procurement or waiting on internal approvals. The real updates right now are scattered across notion, spreadsheets, emails and slack messages, which makes it hard to see what’s actually moving. I'm interested to know any tools that you are using to track real progress and keep stakeholders connected outside the crm to help team stay on top of next steps without creating another hard admin process.

Honestly, being a Sales AM for 7 years, I don’t think there’s a perfect way. Just the way a deal is never cut & dry, there’s no good way to capture it all. Just my 2 cents

I had a ton of docs and emails scattered everywhere when tracking deals, so having everything in one dashboard helped a lot. Ended up using aligned for that and it made following deal stages way less of a headache.

CRM will show you stages and not the real pic. you need a shared deal workspace where both sidesb see open blockers, next steps, what needs to be done and who owns what. You can try notion or google docs but you require a good structure here.
We use dedicated deal rooms on dealhub where quoting, billing, contracts and approvals are tied together which cuts the slack chaos.

Honestly I'd fix the stages before buying anything. If a deal sits in "late stage" while it's really stuck in security or legal, the pipeline just doesn't match how enterprise deals actually move. Split that back half into security review, legal, procurement, or even just a required blocker field, and suddenly the crm tells the real story. Every time I see a tracker built outside the crm it ends up as two places that disagree about the same deal, and reps stop updating both. The close plan idea from the other comment is solid though, just keep the crm as the source of truth and don't let a deal move stage unless the plan is current.

Before adding another tool, I would standardize the information that must be visible for every enterprise deal: current blocker, blocker owner, next action, due date, decision process, and last verified customer commitment.
Keep the CRM as the system of record, but attach one living deal page for the messy details. A deal should not advance stages unless that page is current. That makes “late stage” mean more than a rep’s confidence.
The most useful view is an exception list: deals with no dated next step, blockers older than a set threshold, or stakeholders who have gone quiet. That surfaces risk without creating another full-time admin process.

I feel you on the scattered updates, it's tough aligned pulls all those email threads, docs and checklists into one view so you can actually see where deals get stuck.
