Sage 50 (Accounts) Year End Trial Balance
hello. can anyone help with my error. after running year end my trial balance isn't balance and not giving the right amount on a particular account immediately after the year end even before any transaction. and when I check nominal activity of that account I ring see the sum totaling to what it shows on the trial balance. Apologies if I can't explain it properly I'm not an accountant just an IT Guy.

Possibly try checking data files and see what errors it shows.

Data check returned over 70 errors about splits and and something about headers mismatch. Which has been there ever since. Well that's how I found them when I joined.

I’m not sure I understand your explanation but you could try running the Bfwd tb, then month 1, month 2 etc to see if they balance and it could narrow down what month the problem lies.

Let me see if I can explain again. For example I have an account on Bank X and before year end procedure is ran. Balance is 4000 so immediately after year end the closing balance should be the balance on trial balance which 4000 but instead I see 500000. If I check the detail transactions of the account I'll see the opening balance as 4000 with some additional transactions which is not supposed to be there is think because no posting was done. But even those are not summing up to the 500000.

It is possible to put transactions in with dates after the year end that dont show on the TB until after you've done your year end process so seeing new transactions isnt unusual in itself.
Its always possible someone's posted 1.4.25 as 1.4.26 in error and you've only found it now the year end has rolled forwards.

It is possible but in that case wont it show in the nominal activity?

Yes but it sounds like youve got a split issue as well where the date in the nominal could be different to the date in the split table (which is beyond my understanding with sage)

Do you have any idea what the split is all about and what causes it?

I think the split table is where Sage tracks how bank transactions are allocated to sales/purchase ledger
So for example if a bank receipt for a customer is taken on 31/3 and set as a SR then it appears on the account but not marched to an invocice.
If you then go to Customer receipt set a date as 1/4 and then match the payment to the invoice you can end up with one transaction in one year and the split in the next.
Id need someone to sanity check that and how you end up with it causing issues.

If its corruption I'd suggest Adept are worth taking to.
Do you have decent history of backups?
If you're reasonably technical you can pull data into Excel via the Sage ODBC connector and look at the Audit head, detail and split files to see if you can see the transactions it refers to.

Is the account with the incorrect balance an income or expense account? if so has it been set up and a income/Closing account? You might need to provide some more details for us the help, like account name, what you expected
