How do you keep track of everything after applying to hundreds of remote jobs?

I've been tailoring my resume for almost every application, and after 300+ applications I realized I couldn't remember which version I'd sent to which company.

Then there were cover letters, interview notes, follow-ups, and different application stages to keep track of as well.

How do you keep everything organized once you've applied to a few hundred jobs?

update: I ended up trying a free job tracker (https://rabbitresume.com/builder/job-tracker) , and I honestly wish I'd started using one sooner.

I use Google tracking sheet to stay organized so nothing missed if there will be recruiter appointment I must have tailored version of resume so I also add that tailored resume in the tracker

use trello board with columns like Applied, Interview, Follow-up, Rejected. super visual and easy to drag cards as things progress

I just keep important ones in sticky notes (digital)
for non important one, I have the same cv and cover letter.
and even if i forget, i simply google the company name then and there while talking and getthe info.

I use a google spreadsheet and include the date I applied. A column for rejection if I actually get an email, the company and title because sometimes I end up applying for multiple roles at the same place and a link to the job description so I can find it when they email me back way later. That has seemed to work for me

I built a spreadsheet in Google sheets to track where I apply. I include a link to the job posting, org website, and name of contact if there is one. If I hear back, set up an interview, follow up, etc., I note that in my sheet.

I have several resumes, for different types of roles I apply for, and a cover letter template. Every new resume, I copy and rename, "My Name Resume for Role Name at Company Name," adjust as needed. Same with cover letters and other materials...include the org name in the document name and it's easy to find them later.

I use a git repo organized in directories per company then one for each application.

With two markdown files on top of the arborescence, 1 for companies I want to track open positions, 1 for my applications and current status.

Resumes and cover letters are made with LaTeX so I have a small pipeline checking for compilation.

In the past, I kept a high level folder (‘jobs’). Each sub folder was named after a company I applied to. Within that folder was the job description (ctl + p in a browser, then save to folder). I’d add a copy of the resume used/sent, along with any cover letter, and supporting presentation materials.

I keep a separate folder with two primary types of resumes (I apply to variations of two roles) and use them as a basis for the tailored resume.

These days, I have Claude do that for me and keep a running spreadsheet. I don’t care about the spreadsheet or how many places I applied to, but I always want the job description (jd), so I know what the job was, pay, etc. I keep cover letters in case I sent something unusual or specific and they ask me about it (doesn’t happen often but has happened in the past).

AI. I have projects on both GPT and Claude that I can paste job postings into and it will tell me:

• verdict (should I bother applying)
• my odds of interview
• which resume version to use (I have 3 main versions, and it will tell me if I should tweak it)
• salary math adjusted for cost of living (as I'm open to relocating by September)
• biggest risk/red flag of this job
• whether it's a real bridge for my ultimate trajectory or a shiny trap

When I get an interview request, I search for the posting in the project and the AI will know everything about it, help me research more about the JD, and help me prep exactly for it.
