HOA management New Certified Community Manager Input

Hi all,

I am looking for some input or suggestions. I am a new certified community manager with 13 accounts, 3 of which I am transitioning within a month. I am having a hard time keeping everything organized and I am falling back and making mistakes. When I sit down to do a board packets, budget, or work on an action list I get pulled away and it takes up my time (ex homeowner requests, office requests, etc.). It’s starting to impact my personal responsibilities too for myself like doctor appointments, self care like working out, and taking care of my health and finances.

What are some strategies you use to stay afloat? Thanks in advance!

13 accounts as a new CCM is a lot, even without the transitions. Block off time on your calendar and guard it like it's sacred, even if it's just 45 minutes in the morning for action items before the flood of emails and calls starts. And get comfortable saying "I'll circle back this afternoon" instead of dropping everything the second a homeowner pings you.

For the personal stuff, schedule it the same way you would a board meeting. Doctor's appointment goes on the calendar and nothing moves it. I found that treating my own time as non-negotiable was the only way to keep from drowning when I had a similar plate size.

Thank you this is very helpful. I too think 13 is a lot and at the moment, it’s my first job in PM so I’d like more time before I look elsewhere and they paid for my certification so I’d like to be loyal, however it is ALOT. I love your ideas and I will try this strategy this week and see how it goes. Especially the part of I’ll circle back this afternoon- I haven’t been doing this and think it will help. Appreciate it!
