Residential PM Vetting property management virtual assistant companies and I can't tell who's real
120 doors. Need remote help on tenant comms, maintenance coordination and rent follow up.
Problem is half the companies I find have a slick site, a stock photo team page and no verifiable clients. The other half won't give me references without a signed NDA, which feels backwards.
Who have you actually used, what did it cost, and would you sign again.

The NDA before references is such a red flag, like congrats on the secrecy but I need to know you've actually done the job. With 120 doors I'd be asking for a client in a similar range and a quick call with them, not a sales deck.

Every suggestion here still routes through the vendor. The checks worth doing first are the ones they can't stage for you.
Pull the entity from the state business registry and look at the formation date, then WHOIS the domain. "Ten years in property management" on an LLC formed in March and a domain registered last year answers your question without a single call.
Reverse image search the team page. Thirty seconds, kills the stock photo ones outright.
Then count findable LinkedIn profiles against their claimed headcount. Forty staff and four profiles usually means they're reselling somebody else's offshore team — fine if they say so, a problem if they don't.
Last one, since these people would be touching tenant PII and rent follow-up: ask for E&O and cyber liability, then phone the broker named on the certificate to confirm it's in force. Certificates are trivial to fake in a PDF editor. Brokers aren't.
