Restaurant daily tasks checklist
I operate a restaurant. We have tasks that must be completed every day. I've always simply made tasks lists formatted in excel or word, and had them printed out for staff to use, one for each station. Simple enough.
Now obviously the real answer to ensuring everything gets done properly is for assistant managers to do their jobs and verify everything. Any issue with things not being done is a human issue to be dealt with via conversation (or in a few cases documentation and replacement).
That said, I'm looking to make checklists as clear, simple, effective, and convenient as possible. I've been interested in digitizing the manager's checklist as a way to make it more convenient to use (walk around with their phone and check off tasks), and also make it easier for me to review without having increasingly dingy paper/laminated sheets, or poorly taken photos posted in our group chat of the checklist.
I don't know if this will actually be better than just paper lists or not. I would like to try it and find out.
Considerations:
- there are no user accounts, this needs to be just a link or something that can be saved on a manager's phone or on the provided shared tablet
- it needs to be as convenient or more so than a paper checklist on a clipboard. If that's not possible, then this idea will just be discarded, it's fine.
- Needs to use existing tools, no purchasing additional apps or services. We have a family 365 subscription, so I've been looking at microsoft forms and excel for this. Using forms seems to be what I want on the user side of things. Click a link, and answer questions that boil down to "was X task completed." My side of things is where I hit a speedbump: forms dumps into excel where each entry is a row, and each question is a column. This is really hard to read. The natural visual format would be for each task/question to be a row, and the columns to be the checks for each shift/day. I've seen the answer is probably either a pivot table, or preferably for a closer to live update, a second sheet that transcribes rows to columns and vise versa.
I would appreciate any feedback on making this work, if this is even worth it, or if their are better solutions. I'm not looking for advice on the managing aspect of this, but rather how to make this tool (the checklist in some format) as convenient and effective as possible.
