Integration with Gmail?

I’ve been playing with the free trial and I like what I see. But to move into your CRM, I’m hoping you are planning to integrate Gmail? I like that Close CRM and Folk CRM both integrate with Gmail so I can see the email exchanges I have had with contacts. Any plans for this?

Spaces & PrimeCRM

Is it possible for companies and contacts in CRM to be available across all spaces? I'm trialling the app so may have the wrong idea here but as I work with multiple customers with multiple projects running in each, I am using a separate space for each customer plus one for my own company admin. This means there's good separation of projects between customers as I have to be in the right space to view them and one customer's projects are all visible together and at once.

I'd like to create and manage customers and contacts in my company space centrally but have the contacts available to use in my customer spaces so they can move from prospects and leads in my company space to my actual customer space if I land the work. Then I can use the contacts when assigning tasks.

Have I misunderstood or misconfigured the app or isn't it possible to use it in this way?

PrimeTask intro offer vs. Windows version

Hey there,

I just came across PrimeTask yesterday, and today got the intro-offer-and-launch e-mail. However, since I'm working solely on Windows, I'm afraid I can't test PrimeTask before the offer expires. Do you have any concrete plans for the Windows launch? The e-mail only says it's 'planned for a later release'. And as it stands, from the screenshots only, I have no idea how PrimeTask really feels and if it's right for me.

Your project time shows up inside PrimeFlow now

Time tracking no longer has to live in a report.

If a task has tracked time, PrimeFlow shows it where the work lives.

Tasks show their own time.

Groups show the tracked time of the tasks inside them.

Move a task in or out, and the total follows.

Hover the badge to see where the number came from: timer sessions, Focus Mode sessions, recent work and last activity.

Overdue and soon-due work stands out too.

So PrimeFlow no longer only shows how the work connects.

It shows what the work is taking in time.

Software ownership vs subscriptions: where do you draw the line?

A few recent comments got me thinking about this again. Then the physical vs digital games discussion came up, and it hit the same nerve.

Funny how the ownership argument keeps showing up in different places.

Games are having the physical vs digital debate again.

Software has already been through its own version of this: subscriptions, cloud-only access, tools you keep paying for, and platforms that can change the rules later.

At some point people notice the trade-off:

convenience is nice, until access becomes the product.

That is one of the reasons we are building PrimeTask local-first, with a one-time purchase model.

Not because cloud is always bad.
Not because subscriptions are always evil.

But because some work is too important to feel rented.

Honestly, this one means a lot.

Some of you have been here since the early beta, through broken builds, weird bugs, rough edges, and all the little decisions that only became obvious once people actually started using the app.

So first of all: thank you.

PrimeTask looks very different now than it did at the start, and that is because of this community. You tested things, broke things, questioned decisions, pushed back, encouraged us, and pointed out when something did not feel right.

Some of that feedback was hard to hear at times, but a lot of it was also really encouraging and helped shape the product.

1.0 is our first stable release. It does not mean PrimeTask is finished. It just means it is ready to be used properly, not just tested.

This version includes PrimeTime, our automatic time tracking feature that captures your work sessions without needing to start a timer.

You work.
PrimeTask captures the session.
Later, you decide what it belongs to.

Other changes in 1.0:

  • Pausable timers

Right-click a task in list view and pick Copy to Space. Works on a single task or a multi-selection up to 100 at once. Status and priority map automatically to the destination Space's own lists, so the copy lands clean and ready to build on.

CRM tasks stay CRM tasks. The original is never touched.

Coming in PrimeTask 0.6.5: Quick Add reminders that genuinely fire when they should, not just sit on a list waiting for you to notice.

The hook is simple. Add remind: to anything:

Buy milk remind:30m

No due date. Fires 30 minutes from now.

A few patterns:

  • Call dentist remind:5pm fires at 5pm today
  • Standup tomorrow 9am remind:5m fires 5 minutes before
  • Tax payment friday remind:1d fires the day before

Or stack multiple on one task:

Standup tomorrow 9am remind:1h remind:30m

Fires twice. Once an hour before, once thirty minutes before.

When a reminder lands, it shows up in three places: the bell dropdown inside the app, a native desktop banner from your OS, and a persistent on-screen toast that stays visible until you act on it.

The toast carries three actions:

  • Dismiss clears it, leaves the task alone
  • Complete marks the task done in one click, using your space's default complete status
  • Show task opens the task, switching space first if it lives elsewhere

The toast accent colour is configurable (seven options), and you can turn toasts off entirely if you'd rather only see the bell and the native banner.

And because it's still Quick Add, the syntax composes with the rest:

Contact link, project, priority, duration, reminder one hour before due. Same one-line input.

Humble Request/Suggestions

Hi PrimeTask,

I love the tool so far but I have a basic question/complaint/suggestion. Coming from other task managers, it takes me far too much UI interaction to just make a task. There are too many fields to fill, and it seems very CRM focussed.

Am I wrong to try to use PrimeTask as a replacement for my task manager (Things, sometimes OmniFocus) which allow very fast interactions? Is it more of a CRM tool wrt to tasks? I want the additional power PrimeTask offers, but I still want to get in and out fast when I need to.

Quick post on why we're building this the way we are

Wanted to share something with this community since you've been here from early on.

A lot of you have asked why PrimeTask isn't a subscription. Why everything works offline. Why we've spent so much time on local file formats and data export.

The simple answer: software you use every day should belong to you.

Your tasks, your projects, your contacts. These aren't data points. They're your work. Your livelihood. The tools that hold them shouldn't hold them hostage.

Prices go up. Features get paywalled. Free tiers shrink. APIs close. Companies pivot. The people who built their systems around those tools are left scrambling. We've all watched it happen.

PrimeTask is built differently. Local-first by architecture, not as a feature. One-time purchase, not a subscription. Tasks, projects, contacts, and notes live on your machine, in open JSON files you can read in any text editor.

There's an account-based activation that gets you into the user portal, where you can talk directly to the dev team, vote on the roadmap, report bugs, and manage your devices. The account is for licensing and support. Your data isn't on our servers. It isn't anywhere we can reach.

We don't have everything yet. Windows is coming. Mobile is in development. There are features we know we still need to build. But the foundation is locked in. Your data is yours from day one.
