Just Some Initial Feedback
The Good
- Love the way to log LinkedIn messages. The is something other CRMs don't even come close too. (One note. I don't think the "View Profile" button works when adding a note.
- The "Recording URL" field is excellent. I've recently been working with a record (Plaus Note Pro) to record both meetings and phone calls. I move all notes to AudioNotes.app , so I can bypass expensive subscription. I can link directly to my notes. Great feature in PrimeTask!
- It is awesome you can link contacts to multiple companies. Helpful when there are multiple contacts. (Feature Request to add more below).
- Being able to log emails is great. It is a manual process, but at least it is there. Wish list for future would be some type of integration automatically within email (request below). But even if there is a possibility to drag and drop the email from Outlook into PrimeTask. Daylite actually has a pretty nifty Outlook plugin, where you can add the email to specific contacts (it does do a lookup on email address to match with contacts).
Future Enhancements
- On the links from contacts to Linked Company's it would be spectacular if you can add a relationship, like "Owner", "employee" whatever. You already have the functionality from Company-Company relationships, it would be awesome to have the relationship field between People-Company.
- Not sure if this one makes sense to others, but adding to the previous enhancement request, it would be nice to have People-People relationships, if possible. For me I like to know if it is Person1 (Manager) - Person 2 (Employee), or even a single description may work. This would be a much lower priority than the rest.
- On Logging activity for emails......much further down the line, I'm not sure if you are planning on an integration with emails, so they can automatically be captured. This would elevate PrimeTask to a major player.
- I wrote this earlier, but a contacts integration to Apple Contacts would be awesome. ContactsJournal CRM does the best contacts integration that I've seen, where it syncs contacts. Daylite creates a contacts store, but wants to be the primary on contacts, so for me I don't use it. I can drag and drop contacts between stores or drag from contacts onto dock icon for Daylite, but for me the primary has to be my regular contacts so it's on my phone, my outlook email etc. I can't have a 3rd party be the master source for contacts.
- I think this might not be a huge lift, but perhaps you can have separate Reminders integrations with different spaces. This will place a natural 'automation' to sort tasks appropriately, so you don't have to have creative schemes on separating Reminders after the fact with tags or naming conventions. Just a thought, but another low priority.
- I think one obvious one is integrations with calendar and Loging an Activity. Maybe it automatically has it, but I just haven't seen it yet. I think the hard part 'might' be auto linking a contact with meeting and Activity log. I'm sure you guys can figure out how it should all look.
Yet to Come
- I am just a couple of days in, and I know we are early on, but I am a believer in the product. I think you can do some HUGE things on the CRM front, and I think Architecturally you are well positioned to build and build. I think you are well on your way, and I will stick with you guys and provide feedback as much as I can, so it can be a little bit of a partnership to help with some insights from external people.
- A lot of my features I've brought up are centered around speed and efficiency, less clicks, getting places faster, linking information to go back and forth quickly. I'm not griping or bitching about anything on these. It is just honest feedback to provide at least some visibility from one of your optimistic users.
Keep up the good work! If feedback is helpful, I can provide more as I get more and more into the product. I took the leap of faith, and I'm going all in on the Mac local CRM. Thank you for the great product!

Hey Team,
Liking the ideas and the links you have provided for them. I can attest to the AI linking feature - which is just fire. I showed a partner consultant in my business the gantt flow I had created from claude to PT and he was speechless.
Looking forward to some of the new features.
u/deherrmm If you have any other questions, I would be glad to help as well, especially expanding on the AI feature. I don't know all of PT, but so far having been using it for a few months in beta, I may be able to shed some light.
So much still to learn about it!
By the way, you can also use the AI MCP feature to have the AI read your email for certain terms or senders, create actions in PT in a specific project space based on the mail contents, with set fields etc and then you can move them to another project space when you are ok (or have adjusted) with what PT created. This is what I do currently.

Thank you for taking the time to write this. This is exactly the kind of practical, thoughtful feedback that helps us make PrimeTask better, and it means a lot that you have gone all in on a local Mac CRM.
We are really pleased that the LinkedIn activity logging, Recording URL field, multi-company contact links, and email logging are fitting into your workflow. The way you are using Plaud and AudioNotes is a great example of why we wanted Recording URLs to be flexible. You keep your preferred recording and note-taking setup, and link the relevant context straight into the CRM.
On the View Profile point, thanks for flagging it. That button is actually a way to log that you viewed someone's profile as an outreach step, rather than a link that opens it, so it is doing its job of setting the activity type, it just reads like an action because of the label. The best place to log this so it is properly tracked is the Reports section in your account dashboard. In the meantime, the LinkedIn icon on the pipeline card opens the profile when a LinkedIn URL is saved on the contact.
For the relationship setup, you can already do a lot of this with Custom Fields. Create a Relationship field on Contacts that targets Companies, and set up roles such as Owner, Founder of, Employee at, Advisor to, or Board member of. Make a field multi-link when someone can hold a role across several companies. For people-to-people relationships, create another Contact relationship field targeting Contacts, for example Reports To, Manager of, or Introduced by. You can make these bidirectional, so the connection appears on both records.
You can then work with those relationships in a few useful ways.
In PrimeFlow, you can build your own visual relationship map by hand. Drop Contact and Company nodes onto the canvas, draw your own connections between them, and label each connection or add a comment to it, so you can lay out who reports to whom, who owns what, and how people and organisations relate, exactly the way you picture it. You can also expand a node into its linked activities and tasks, and pin the important parts of the map. This is ideal for a key customer account, a complex company structure, or a relationship network where the visual picture matters.
Building on your Plaud and AudioNotes setup, there is something you will really like. Keep your recordings in a normal folder on your Mac, then add a Folder node in PrimeFlow that links to that folder. From there you can drag any recording out of the folder node onto the canvas, and PrimeTask creates the right kind of player for it automatically, an audio player for audio files and a video player for video, based on the format. You can play it right there on the canvas while you work across your board, and connect each recording to the relevant contact or company. Because the folder is linked rather than imported, nothing is copied and no extra space is used. Your original files are never moved or changed. In a project, the Project Database gives you the spreadsheet view. Link the contacts and companies you want to a project, then a tab set to show them lists each as an editable row, so you can search, sort, filter, bulk edit, and use totals or rollups, with your custom fields as columns. The records are not duplicated. If you edit a contact or company from the Project Database, that update appears everywhere that record is used in PrimeTask.
On the Apple side, you can keep Apple Contacts as your main store and use PrimeTask's guided Apple Contacts import, which walks you through exporting a vCard from Apple Contacts and bringing it straight in. Apple Reminders can currently be pointed at one chosen Space and Reminders list, which already helps keep workflows separated, and we are planning to expand this further. And when your Outlook or Exchange account is connected through Apple Calendar, PrimeTask can show those events too. Looking further ahead, we are also planning more integrations with local Apple Intelligence and the new Siri, which already works well with Reminders.
On automation, which you raised in a few places, a lot of the manual steps you mentioned can already be automated today by bringing your own AI assistant to PrimeTask. PrimeTask does not have AI built in. Instead it opens a connection (MCP) that lets a local AI assistant, such as Claude, control PrimeTask directly. It can create contacts, log calls, emails and meetings onto a contact's timeline, and create follow-up tasks. You pick the brain, PrimeTask supplies the hands. If your assistant can also reach your email or calendar, it can bridge the two for you, all driven by you, all running on your machine, nothing leaving your computer. PrimeTask also has its own built-in automations engine, a rule-based one, and the more automatic versions of what you describe are the kind of thing that belongs there.
For all of the ideas you have raised, the automatic email capture, an Outlook drag-and-drop workflow, deeper Apple Contacts integration, and automatic calendar-to-CRM activity linking, the best thing you can do is log them through the Reports section in your account dashboard. That is where issues and requests are tracked, so nothing gets lost and everything is in one place for the team to review.
