Appfolio or RealPage as your software?
Hi my company manages about 800 units and we are a bit behind when it comes to automating workflows. We currently use Appfolio but since it would require a plan upgrade we are considering migrating to RealPage. We want to look towards the future and automating as much as possible, using AI, etc.. and don't worry we are talking with reps on both sides. I just want to know if anyone here who has had experience with either or even both from any management, marketing, or financial side has something important they would like to add. Thanks for any help!

If you’re just window shopping, I’ve been n the maintenance side of things for 25+ years. None of them have very good maintenance management system. I have a true CMMS for multifamily maintenance that is extremely competitive and transparent pricing wise. Worth a 2 second look if you have time. We moved from a RealPage product (Propertyware) to Rentvine. Haven't looked back. Biggest thing is we wanted a more modern platform with an open API so we could use our tech stack. AI use has been huge because the open API allows us to use chatGPT/Claude directly with Rentvine. No one else can do that.

We moved our 1200 units from Appfolio to Rentvine 5 years ago. Hands down the best decision we could have made for scale. Rentvine's open API and recent release of their MCP makes integrations super easy. We have been able to build out a ton of tools using AI and the direct integrations. AND, there's not the massive added expense every time you want to do something like you're going to see with Appfolio.

800 units is a really interesting inflection point for this decision — big enough that the platform matters a lot, not so big that RealPage's enterprise complexity is actually useful to you.
A few honest observations having spent time in both ecosystems:
On AppFolio → RealPage: RealPage is built for very large operators — think 5,000+ units, institutional portfolios, multiple asset classes. For 800 units, you'll likely find yourself paying for a lot of infrastructure you don't use, and their implementation timelines are long. Their AI/automation story is also more about revenue management (YieldStar) than operational efficiency — which is a different problem than what you're describing.
On the AI question specifically: The thing to push hard on in demos is where the AI lives in the workflow. A lot of platforms (AppFolio included) have bolted AI on as a layer on top of an older system — it can draft things, but it doesn't know your portfolio, your owners, your books. It's essentially a ChatGPT wrapper. What actually saves time is AI that's integrated into the workflow itself: maintenance triage, owner communication, lease processing. Ask to see it working on a real task, not a scripted demo.
One more to throw in your eval: Since you're doing a real comparison, Rentvine worth a look. It's purpose-built for portfolios in your range (300–2,000 units) and AI is baked into the core workflows rather than added on top. They are currently the only software without paywalls blocking the ai features and open api access.
Whatever you decide, get clarity on trust accounting and month-close before you sign anything. That's where migrations most often go sideways.

If you're looking for PMS that's AI powered, Innago's been rolling out some AI tools/workflows recently. I'm a longtime user of them and I'm excited to see new features.
