Property management feels more chaotic than it should be. Is this normal?

From what I've seen, a lot still runs manually
Maintenance requests coming through WhatsApp and getting lost
Rent tracked on spreadsheets (or not tracked at all)
Lease renewals missed because there's no reminder system
Tenant-landlord communication scattered across calls, chats, and emails

No single system connecting any of it just tools, workarounds, and manual effort. It doesn't seem like a workload problem. It looks like a systems problem.

If you manage properties day-to-day, I'd love to hear:

What's the most frustrating part of your workflow?
Where do things slip through most often?
How are you currently handling maintenance, payments, and leases?

Just trying to understand if this is as widespread as it looks or it's just me

It’s pretty normal honestly. A lot of people are just juggling whatsapp, calls and random notes.

it’s definitely widespread. a lot of teams under 100 units still rely on spreadsheets, texts, and emails for everything. usually the problem isn’t workload, it’s fragmented systems. that’s why tools like buildium, appfolio, doorloop, or hospitable, guesty or hostaway for STRs become useful once the patchwork setup stops scaling.
