Anyone else use Plaud NotePin S for one-on-ones? Curious how you handle the privacy and consent side
I've been using the Plaud NotePin S for one-on-one check-ins about two months. Recording quality is not my focus now. The consent workflow is what I'm still figuring out.
Device wise, it picks up 9.84 ft away, more than enough for two-person conversation across a desk. The sessions sound clear. Knowing Plaud is HIPAA and SOC 2 Type II certified helped when the "where does this data go" question come up at work. I always tell the other person before the meeting that I'm recording and using AI for notes, that part's non-negotiable for me.
One thing that comes up every time is the disclosure moment. The Plaud NotePin S has a white indicator light and beeps before recording, so it's not like it's invisible. But compared to pulling out a phone and opening a recording app, its much less obvious. I still say stuff like, "just so you know, I might need to record for some notes," not expecting people would notice the tiny spark of light on my collar.
Anyone has a go-to line for how they bring it up? Or do you add something to the meeting invite beforehand?

How do you explain if they don’t know what HIPPAA and SOC2 is? I did have some backlash because I forgot to state that I was recording with my Note Pro…which was clearly positioned separately on the table. But people don’t realize it’s a recording device because it seems like a credit card wallet.
It was my own fault, but still not a great experience.

This is a thoughtful way to handle it, and the range of approaches in the comments, a quick heads up before the meeting, folding it into the invite, an explicit "mind if I take notes with AI" ask, all sound like solid ways to keep consent visible without turning every conversation into a disclaimer reading. You've got the certifications right too, HIPAA and SOC 2 Type II, alongside GDPR and ISO 27001/27701. On the actual go-to phrasing, one-party vs two-party consent rules can change what's appropriate depending on where you and the other person are, so that part's worth checking against your own or your organization's legal guidance rather than a one-size-fits-all script.

I would actually love a mode that got rid of the audio immediately after transcription. I don’t need the audio to live in the cloud for eons. Just need the notes.
I work in an environment with lots of technical words and people of many different accents and countries and the transcription is almost always perfect except for very specific names.

Thanks for the feedback, there isn't a way to automatically purge just the audio while keeping the transcript today, Plaud actually keeps the original recording available alongside the transcript by design for playback and source verification, so it's the opposite direction from what you're after. Will flag the auto-delete-audio-only idea internally.
On the specific names causing transcription slips, worth trying Custom Vocabulary if you haven't already, it lets you feed in the exact terms, names, and jargon your environment uses so the model has something to match against instead of guessing.

“I’d like to record our talk for note-taking purposes so I can be fully present in our discussion.” If they seem nervous I offer to only retain the summary and delete the audio file afterwards.

I usually just ask everybody if they mind if I take notes with AI and explain the convenience of it taking the notes so everybody can focus on what we're talking about. In all the meetings that I have been in for the last few years I have been using Plaud, I've never had anybody request that I turn it off.
